Bookkeeper & Office Coordinator

Full-Time | In-Office

Our client is a growing consulting firm seeking a detail-oriented Bookkeeper & Office Coordinator to support our financial operations and office administration. This role reports to the Chief Operating Officer and is approximately 2/3 bookkeeping and 1/3 office coordination.

Qualifications

Required

  • 3-5 years of bookkeeping or accounting experience
  • Proficiency with Quick Books Online
  • Knowledge of cash and accrual accounting
  • Strong communication, organization, and problem-solving skills
  • Ability to work independently in a fast-paced environment

Preferred

  • Bachelor's degree in Accounting
  • Experience with ADP payroll
  • Experience in a family-owned or privately held business

Key Responsibilities

Bookkeeping & Financial Administration

  • Manage accounts payable, including invoices, vendor payments, reconciliations, and contract tracking
  • Manage accounts receivable, including invoicing, collections, payment processing, and client account setup
  • Process bi-weekly payroll and support payroll reporting and compliance
  • Maintain inventory records in Quick Books
  • Monitor cash balances and assist with cash flow management
  • Prepare monthly financial reports and support budgeting activities
  • File quarterly sales and use tax returns and maintain 1099 records
  • Maintain organized financial records and documentation

Office Coordination

  • Welcome office visitors and guests
  • Coordinate meals and logistics for internal events
  • Maintain office supplies, snacks, and beverages
  • Handle shipping and receiving
  • Support general office operations and administrative needs

Professional Skills

  • Advanced proficiency in Quick Books Online and Microsoft Office (Excel, Outlook, Teams)
  • Strong attention to detail and follow-through
  • Excellent time management and organizational skills
  • Professional and effective communication with clients, vendors, and colleagues
  • Adaptable, proactive, and systems-oriented
