Position Overview
Secretary to Dean of Instruction ) – Job . Reports to the Dean of Instruction/Campus Principal. Works 190 days per year, non‑exempt, pay range $16.45 to $24.67 per hour (Pay Grade PS3). The position is open until filled.
Responsibilities- Receives visitors, determines purpose of visit, and addresses requests or refers them appropriately.
- Maintains effective public relations with the general public.
- Provides clerical and stenographic assistance to the department head and staff.
- Keeps informed of local and state laws, rules, and regulations, and explains applicable policies to appropriate persons.
- Reviews incoming and outgoing correspondence, memoranda, reports, and similar materials; summarizes or refers them as necessary.
- Prepares correspondence, memoranda, forms, requisitions, and other records.
- Maintains records efficiently.
- Calls on substitutes when teachers are absent.
- Sorts campus and regular mail.
- Performs bookkeeping functions such as simple statement analysis, recordkeeping for executive and banking operations, and bookkeeping systems as needed.
- Keeps student data current as directed.
- Maintains daily payroll for personnel if required.
- Orders supplies for students, teachers, and the office.
- Types purchase orders, receives, and checks out materials.
- Maintains records of all office equipment to be serviced.
- Performs all duties safely to avoid injury to self or others.
- Performs other related duties as assigned.
- TEA certification required.
- High school graduate or GED.
- Typing speed of 45 words per minute (60 or more preferred).
- Coursework in typing, shorthand, bookkeeping, and general business practices preferred.
- Extensive experience in stenographic and clerical work.
- Knowledge of modern business practices, business English, spelling, and commercial terminology.
- Knowledge of the operations, functions, and general scope of authority of the School Administration and School Board.
- Ability to handle delegated administrative details and write clear, concise memoranda, directives, or letters.
- Ability to follow instructions and develop comprehensive plans with minimal supervision.
- Ability to meet the public in a pleasant, composed, cordial manner and speak clearly and effectively.
- Ability to establish and maintain effective working relations with all district employees and the general public.
