General Description
The Deputy Clerk is responsible for providing administrative and operational support within the Sheriff's Office, primarily assisting with inmate processing, inter-agency coordination, legal documentation, and scheduling of inmate transports. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with courts, detention facilities, and law enforcement personnel.

Examples of Work Performed
Maintains and updates records of inmate release dates from external detention facilities.
Enters information on office records to the computer and retrieves information to respond to inquiries.
Preforms general clerical duties as required, including filing, indexing and recording, making copies, sorting and mailing documents.
Processes the more difficult requests for information or documents; searches files to obtain the needed information.
Accepts and processes legal documents, collects fees, and files papers.
Assists the public in person or by telephone, convey messages, make telephone calls, faxes and distribute mail.
Proofread records and conducts research as needed.
Ability to work well with others.
Preform such duties as may be assigned.
Schedules the pickup and transport of inmates from other detention centers.
Assigns deputies to extradition and out-of-county transport trips.
Notifies outside agencies of scheduled inmate pickups and coordinates logistics accordingly.
Receives and processes notices regarding inmate holds and communicates with other detention facilities to verify status.
Serves as a liaison with courts, the District Attorney's Office, and Communications regarding inmate "hits" and holds.
Coordinates with logistics personnel to schedule deputies for out-of-county transports.
Prepares and processes civil paperwork, including subpoenas, warrants, and jail documentation.
Assists individuals in the lobby, including processing walk-ins such as individuals turning themselves in.
Coordinates with TDCJ coordinators and DA's Office (Mental Health Division) regarding inmate transport to and from mental health facilities.
Works with the District Attorney's Office on bench warrants and writs for inmate transfers to correctional institutions.
Answers and handles phone calls related to civil process and warrant inquiries.
Provides administrative support and assists with resolving documentation issues involving the District Attorney's Office and the Attorney General's Office.
Education and Experience
High School Diploma or GED required.
Associate's Degree in Criminal Justice, Public Administration, or related field preferred, or equivalent work experience in a law enforcement or corrections environment.
- Two (2) years of related experience may be substituted for one (1) year of education.
Certificates, Licenses and Registration:
Must have a current valid Texas motor vehicle operator's license.
Must be able to be insured by the County's insurance carrier.
Knowledge, Skills and Abilities
Knowledge of basic legal terminology, civil process, and inmate processing procedures.
Ability to type accurately at a minimum of 35 words per minute Must be bilingual in English and Spanish, with the ability to effectively communicate verbally and in writing in both languages.
Ability to manage multiple tasks and prioritize in a fast-paced environment.
Strong communication and interpersonal skills for working with multiple agencies.
Ability to fill out reports, answer routing correspondence and speak effectively to the public.
Proficiency in computer systems, data entry, and record-keeping.
Ability to maintain confidentiality and handle sensitive information.
Strong attention to detail and organizational skills.
