POSITION SUMMARY :The Clinic Office Specialist is a key member of the Physician Practice and provides clinical/administrative expertise to ensure all patients receive high quality, efficient care.
POSITION EDUCATION/QUALIFICATIONS :- · High School/GED preferred
- · Excellent customer service and interpersonal skills
- · Computer skills required with knowledge of Microsoft Office suite, concentration in Excel
- · Good written and verbal communication skills required
- · Bilingual – English/Spanish preferred
- · Position requires travel, valid driver’s license and vehicle insurance are required
- · Minimum of two (2) years medical office receptionist experience preferred
- · Previous experience in a busy medical office setting is preferred
- · Ability to use practice management software
- · Previous electronic medical record software experience preferred
Responsibilities:
RESPONSIBILITIES:- · Promotes the facility mission, vision and values by effectively communicating them to others. Considers mission, vision and values in developing services, standards and practices
- · Working the reception desk, greeting, registering and communicating with patients and providers
- · Scheduling, canceling, and rescheduling patient appointments
- · Reminding patients of upcoming appointments and tracking missed appointments, no show and cancellations
- · Answering multiple telephones and accurately documenting messages
- · Sending messages through the EMR system for follow up by clinical staff
- · Forwarding telephone calls appropriately and following up on return calls
- · Checking-in patients and properly documenting registration
- · Insurance verification for office visits and verification of patient demographics
- · Authorizing procedures or surgeries, as needed
- · Filing or retrieving medical records and delivering to appropriate providers or departments as needed
- · Filing/scanning patient and administrative files
- · Copying, scanning and faxing duties
- · Checking patients out after visits, collecting co-pays and cash from patients, getting authorization on credit cards
- · Preparing daily bank deposit daily
- · Monitoring and reconciliation of petty cash daily
- · Entering charges, payments, and balancing the day in the computer
- · Report completion as assigned by manager
- · Other duties as assigned
Other information:
CUSTOMER SERVICE:Provide excellent customer service to all DHR customers. All employees are required to attend the DHR C.A.R.E.S program which outlines the Customer Service Principals including:
Commitment, Accountability, Respect, Excellence and Service.
Employees must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served in his/her assigned unit. The individual must demonstrate knowledge of principles of growth and development over the life span and possess the ability to assess data reflective of the patient’s status and interpret the appropriate information needed to identify each patient’s requirement relative to his or her age.
