Description We are looking for a dedicated and detail-oriented Administrative Assistant to join our team in Edison, New Jersey. This role supports crucial operations, providing comprehensive administrative assistance to ensure seamless workflows and effective communication across departments. As part of a hybrid work arrangement, this long-term contract position offers an excellent opportunity to contribute to a dynamic wholesale distribution environment.

Responsibilities:

- Coordinate and manage calendars for senior leadership, ensuring all meetings, events, and deadlines are organized efficiently.

- Handle travel arrangements, including booking flights, accommodations, and transportation for company personnel.

- Prepare, review, and manage import-export documents with accuracy and attention to compliance requirements.

- Organize and support conference calls, ensuring proper scheduling, documentation, and follow-up.

- Maintain office supplies and oversee inventory to ensure availability for daily operations.

- Assist with onboarding new employees by preparing necessary documentation and resources.

- Provide administrative support for customer service functions, including tracking complaints and managing responses.

- Collaborate with vendors and external agencies to address inquiries and ensure timely resolution of issues.

- Monitor and update databases related to customer satisfaction and project tracking.

- Uphold confidentiality and professionalism when managing sensitive information and communications. Requirements - Proven experience in administrative roles, preferably within wholesale distribution or customer service industries.

- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.

- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

- Excellent written and verbal communication skills, with a detail-oriented approach.

- Familiarity with import-export documentation processes is highly desirable.

- Ability to work independently and exercise sound judgment in a fast-paced environment.

- Flexibility to occasionally work outside standard office hours based on project needs.
