Job Summary
Administrative Assistant to partner with the General Manager on clerical and technical support for the office, offering a variety of office and administrative support for operational and regional offices.
Responsibilities- Greet visitors
- Answer the operator line and direct calls to the appropriate place
- Manage and distribute speed dial information for the phone/fax lines
- Coordinate voice mail setup
- Compile and distribute transportation provider list in cooperation with Transportation
- Ensure all call recordings are backed up and archived
- Coordinate new hire information and employee benefits documentation for the HR contact person in the operation center
- Coordinate office maintenance and cleaning (windows, carpets, water dispenser, shredding, plumber, electrician, security service) by working with the landlord, cleaning service(s), and other services
- Handle inbound/outbound mail including information packets and/or contracts for potential transportation providers
- Prepare expense reports
- Handle ordering office supplies and maintain supplies and inventory
- Schedule appointments
- Handle virtual correspondence
- May participate in additional projects or duties as assigned
- High School Graduate or GED
- 0–2 years experience
- Proficient in Microsoft Office Suite
- Salary: $17–$19 per hour
