Responsibilities- Under close supervision, perform routine, repetitive clerical work involving the processing of documents in a variety of functions; perform other related duties as required.
- Utilize keyboard equipment to input and/or retrieve information on a computer console, typewriter, or other key entry device as needed. Keyboarding duties may or may not be a primary function depending on the position.
- Review and verify documents, screen and check reports and applications for corrections and completeness; refer problems to a lead worker or supervisor for resolution.
- Open, time stamp, sort, index, and distribute mail; maintain mailing lists.
- Sort, file, and maintain records such as checks, cash stubs, vouchers, and requisitions in numerical or alphabetical order.
- Receive applications, documents, forms, and fees; organize information for processing.
- Assist in requisitioning, storing, and distributing office supplies; prepare and verify simple payroll calculations when required.
- Prepare routine reports by gathering data and tabulating results; maintain and file records.
- Provide general information in person and by telephone; refer non-routine inquiries to appropriate staff.
- Enter and/or retrieve information on computer terminals; may assist with payroll and scheduling changes.
- Assemble materials for distribution and assist in preparing and verifying documents for court, tax, finance, personnel, or other offices as assigned.
- Operate standard office and mail processing machines; perform basic maintenance tasks such as adding toner and paper or changing ribbons.
- License: Driver's license valid in New Jersey if operation of a vehicle is necessary to perform duties.
- Knowledge and Abilities: Knowledge of office routines, equipment, and practices after training; ability to follow established routines and regulations; ability to organize work and develop effective methods; ability to perform simple arithmetic calculations and tabulations; ability to understand and follow oral and written directions; ability to work accurately within deadlines; ability to interact with colleagues and the public; ability to sort, index, file, and retrieve materials;
ability to operate and perform routine maintenance on office machines; ability to use electronic and/or manual recording systems after training. - Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties. American Sign Language or Braille may be considered as acceptable forms of communication.
