We are seeking a highly organized and proactive Assistant Property Manager to join our client's office maintenance and facilities team. In this role, you will play a key part in ensuring the smooth operation of our facilities and the satisfaction of our tenants. As the first point of contact for various maintenance needs, you’ll handle work orders, vendor contracts, certificates of insurance, and much more.

- Tenant Service Requests: Manage work orders, ensure timely resolution, and follow up with tenants to ensure satisfaction.
- Vendor Contracts: Obtain proposals, seek approvals, process contracts, and follow through to completion.
- Insurance Claims: Assist with incident reporting, track claims, and communicate with insurance companies and attorneys.
- Supply Ordering & Inventory Management: Maintain inventory, order supplies, distribute materials, and reconcile invoices.
- Tenant Correspondence: Maintain clear and effective communication with tenants regarding updates, requests, and any relevant issues.
- General Office Duties: Answer phone calls, manage office equipment updates, and assist with on-call technician scheduling.
- Vendor Insurance Certificates: Obtain, track, and ensure the timely renewal of Certificates of Insurance (COIs).
- Software Updates: Input and maintain current tenant information in company software programs.
- Site Visits: Occasionally visit properties to inspect and ensure operational efficiency.
- Team Support: Assist fellow team members with tasks as needed to ensure smooth daily operations.
Skills & Qualifications
- Strong customer service skills, with a focus on tenant satisfaction
- Proficiency in Microsoft Office
, especially Excel - Excellent communication skills—both written and verbal
- Ability to multi-task and prioritize in a fast-paced environment
- Strong attention to detail and organizational skills
- Self-motivated and eager to contribute to a collaborative team
- Problem-solving mindset with a proactive approach to challenges
