About the RoleWe’re seeking a highly organized, relationship-oriented Executive Assistant to support our executive leadership team and provider staff within a growing healthcare organization. In this role, you will play a key part in maintaining operational efficiency, regulatory compliance, provider support services, credentialing activities, and medical records oversight. This opportunity is ideal for someone who values accuracy, professionalism, strong organization, and the ability to manage a broad range of administrative and provider-support responsibilities.
ExecutiveAdministration Responsibilities
Support the organization’s mission by delivering high-quality work and maintaining positive, professional relationships with colleagues and stakeholders.
Adhere to organizational policies regarding attendance, appearance, and professional conduct.
Prepare and manage provider reports and executive-level management reports for the Medical Director.
Provide administrative support to the Finance Department under the direction of the Chief Financial Officer (no prior finance experience required).
Assist the executive team in maintaining facility licensing and regulatory compliance requirements.
Track insurance payer contracts and maintain Medicaid and Medicare licensing and enrollment updates.
Provide additional administrative support to members of the executive team as needed.
Serve as a liaison with payer provider relations and network representatives.
Manage relationships with stakeholders involved in provider credentialing, privileging, and payer enrollment processes.
Coordinate with external credentialing partners to ensure timely submission of required documentation for all Licensed Independent Practitioners (LIPs), including physicians, advanced practice nurses, and other licensed providers.
Collaborate with Human Resources to prepare credentialing packets for licensed and certified providers and maintain related personnel documentation.
Serve as a liaison for provider audits, including regulatory and quality review activities.
Assist the Medical Director with onboarding new providers.
Manage and approve provider timecards and PTO requests, coordinating with leadership to ensure adequate provider coverage.
Partner with operational leadership to create and maintain provider on‑call schedules.
Lead the Medical Records function, coordinating with internal departments and external agencies to ensure accurate, compliant, and timely documentation and records management.
Minimum Qualifications
Associate’s degree preferred, or an equivalent combination of education and experience.
Exceptional organizational skills, including the ability to create, maintain, and manage databases, tracking systems, and reporting tools.
Strong computer proficiency, including Microsoft Word, Excel, PowerPoint, Adobe Acrobat, and related business applications.
Excellent verbal and written communication skills.
Outstanding interpersonal skills with the ability to establish and maintain effective working relationships across all levels of the organization and with external stakeholders.
Experience working in a healthcare, medical practice, community health, or provider services environment.
Familiarity with provider credentialing, privileging, licensing, payer enrollment, or healthcare compliance processes.
Ability to manage multiple priorities while maintaining a high level of accuracy and confidentiality.
