Position: Marketing Assistant - Job No. L-2026-8

Responsibilities

As a member of the proposal department, the Marketing Assistant will be working on the end-to-end administrative and visual success of the firm’s bidding process. Primarily will work in the office preparing, formatting, and styling proposals in Adobe InDesign and Microsoft Word to ensure documents are clean, professional, and compliant with RFP requirements. Assist extensively with technical staff (engineers and surveyors) and subconsultants to gather essential proposal materials like resumes and project descriptions.

Specific duties include taking ownership of agency-specific forms; maintaining and updating staff resumes in multiple formats; and creating professional organizational charts and graphics. The candidate will work on physical production, including high‑quality printing, trimming full‑bleed covers, dividers, and slip sheets, and final assembly. Perform meticulous copy editing and proofreading on administrative and technical sections to achieve high accuracy and clarity before final leadership review.

Requirements
  • Experience in the required field and/or a professional office environment; experience in the AEC industry is preferred.
  • Advanced proficiency in Adobe InDesign and Microsoft Word is required.
  • Exceptional attention to detail with a proven ability to interpret and follow complex instructions.
  • Strong interpersonal skills.
  • Demonstrated common sense and resourcefulness in problem‑solving.
  • Excellent written communication skills, with specialized experience in professional copy editing or proofreading preferred.
  • Ability to work effectively under tight deadlines and manage multiple tasks simultaneously.
  • Familiarity with NJDOT/NYSDOT/NYCDDC/NYCDOT/USDOT procurement forms and agency requirements is a significant plus.
