Business Administrator
Reports To: Director of Finance & Operations
Classification: Part-Time
Position Overview
The Business Administrator plays a key role in supporting the financial operations of the school, with a primary focus on tuition management, payment processing, and administrative support. Reporting to the Director of Finance & Operations, this individual is responsible for managing tuition agreements, monitoring payment plans, processing deposits, tracking donations and grants, and assisting with payroll and general business office functions when needed.
This role requires a high level of discretion, strong organizational skills, and the ability to collaborate across departments to ensure efficient and accurate financial operations.
Key Responsibilities
Tuition & FACTS Management
Set up annual tuition and fee agreements for all families in FACTS
Process financial aid awards in FACTS and apply them to tuition agreements
Monitor and manage FACTS payment plans throughout the year
Follow up on failed or missed FACTS payments
Bill and track incidental expenses (e.g., sports, after-school programs)
Cash Management & Deposits
Deposit physical checks (remote deposit when possible)
Deposit cash and other checks at bank
Record and track donations in donation tracking system
Financial Support & Administration
Track and manage applicable grants to identify cost savings
Provide ongoing support to the Director of Finance & Operations
Assist with payroll processing in the absence of Business Office Staff member responsible for HR
Manage transportation expenses (one school bus)
Qualifications & Skills
Bachelor’s degree in Accounting, Business, Finance, or related field required
3-4 years of accounting or bookkeeping experience ideally in a nonprofit or independent school setting preferred
Strong sense of discretion and professionalism
Excellent written and verbal communication skills
Experience with FACTS Tuition Management strongly preferred
Payroll processing experience is a plus
Ability to collaborate effectively with cross-functional teams (e.g., Admissions)
Salary & Benefits
· Salary range: $40,000–$55,000 based on qualifications and experience.
