DescriptionPosition Overview
This is an off-campus, Federal Work Study Program (FWSP) student clerical position with YWCA OKC, in which the student's main objective is to fully digitize and then destroy forensic exam charts that are 5+ years old.
Other general duties and responsibilities may include working as a team member with all YWCA staff and administration, maintaining optimal business office procedures with regard to correspondence and filing, and performing other miscellaneous duties as assigned by the supervisor and management team.
This position is expected to communicate effectively in a diverse and crisis-oriented environment, which includes speaking to individuals who have recently experienced sexual assault, domestic violence, and stalking.
It is crucial for the candidate who fills this position to demonstrate servant leadership, critical thinking, teamwork, self-motivation and direction, organizational development and negotiations skills, strong oral and written communication, robust computer and technology skills and resource development.
This position must demonstrate the ability to envision and implement change, work collaboratively with diverse communities, work with volunteers and communicate the mission and work of YWCA OKC.
Hours per Week
20-25 hours per week, Monday-Friday, 8am-5pm (located off-campus, primarily at YWCA main offices)

Department Specific Job Functions
- Audit charts:
Ensure each forensic exam chart is in the correct order and no pages are missing. - Scan audited charts and upload them to the Forensic drive.
- Digitally sort charts once scanned, naming and placing them correctly on the server.
- Remove personal identifiable information from forensic exam folders prior to destruction.
- Assist in destruction of properly digitized charts under supervision of the Senior Director, Assistant Director, or Coordinator.
- Abide by strict confidentiality requirements to ensure the safety of patients personal and health information.
Other Requirements:
- Complete documentation to assure compliance with criteria and standards required by licensing and funding sources and completes necessary electronic entries and all required agency forms.
- Maintain confidentiality and integrity of sensitive information related to clients and programs.
- Understand and adhere to YWCA Employee Handbook and all YWCA Policies and Procedures.
- Maintain required annual training hours.
- Maintain cooperative and communicative relationships with peers and community partners as necessary.
Enrollment Requirements
Fall/Spring Semesters:
All student employees must be enrolled at least half-time to be eligible to work any UCO student position. Half-time enrollment for fall/spring semesters is considered 5 hours for graduates and 6 hours for undergraduates. International students must be enrolled full-time to be eligible to work as a student employee. Full-time enrollment is 9 credit hours for graduates and 12 credit hours for undergraduates.
Summer Semester:
Student employees working regular student positions must be enrolled in at least 3 credit hours to be eligible to work during the summer. Students not enrolled in summer classes must be enrolled in fall classes in order to work during the summer, but they (and the department) will be required to pay FICA taxes. Student employees working FWSP positions must be enrolled in a minimum of 6 credit hours (if undergraduate) or 5 credit hours (if graduate) in order to work during the summer in a Federal Work Study Program position.
Enrollment Exception:
If the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of hours needed to graduate and anticipated graduation date) and submit it to Human Resources. This pertains to both regular and Federal Work Study Program positions.

FWSP Requirements
To be considered for Federal Work Study Program (FWSP) employment, you must be awarded work study through the Office of Financial Aid & Scholarships. Please be aware, the summer FWSP award is a separate application process, and is not included with the fall/spring FWSP award. Contact Financial Aid for more information.
Enrollment requirements for FWSP employment are the same each semester. Undergraduates must be enrolled in a minimum of 6 credit hours, and Graduates must be enrolled in a minimum of 5 credit hours.
