Job Summary

This position will include processing all internal and external medical records requests. Additional responsibilities will include processing faxes, scans and other electronic documents into the appropriate format and directing those documents to the appropriate staff and medical charts.

Essential Functions
  • Ensure the validity to include patient’s consent of all medical record requests.
  • Responsible for scanning all records into a patient’s chart and all billing documents.
  • Use computer and Electronic Medical Records (EMR) to accurately enter and retrieve documents from system.
  • Review medical records for completeness and accuracy and ensure documents are filed to the correct patient.
  • Responsible for uploading and/or downloading all outside Radiology images and reports.
  • Responsible for all record changes in the Electronic Health Record including removal of records when necessary.
  • Responsible for making all requests to third parties for patient medical records that are sent to Oklahoma Arthritis Center.
  • Responsible for obtaining a patient release of records for all physician’s offices.
  • Ensure that all outgoing mail is correctly processed to include appropriate postage.
  • Sorts and distributes all incoming faxes and follows up on failed faxes.
  • Ensure patient confidentiality and follow HIPAA guidelines.
  • Promote a professional image by adhering to the established dress code as listed in Employee Handbook.
  • Check and resolve assigned tasks in EMR program.
  • Assist co-workers as needed.
  • Recognize when others are in need of assistance, information or directions and offers to help when able, or find someone who can.
  • Responsible for neatness of work area to include stocking and cleaning. Be productive when faced with any “down time” during work hours.
  • Maintain emotional control and diplomacy at all times.
  • Maintain open and positive lines of communication.
  • Consistently report to work on time, begins work promptly and perform duties for entire scheduled shift.
  • Maintain absenteeism within company policy.
  • Notify Administration of absences and tardiness in a timely manner.
  • Read new policies and documents as instructed.
  • Adhere to company policies and procedures.
  • Demonstrate sensible and efficient use of equipment and supplies by limiting waste, spoilage or damage.
Knowledge
  • Knowledge of medical terminology.
  • Knowledge of HIPAA Guidelines
Skills
  • Strong data entry skills.
  • Attention to detail to ensure accuracy.
  • Basic computer skills required to scan, organize, and access electronic health records.
Abilities
  • Ability to establish and maintain effective working relationships with coworkers and diverse patient populations.
  • Customer/client focus
Qualifications
  • A High School Diploma or GED required.
  • 1-2 years of previous Medical Records experience is preferred.
  • Computer experience especially related to EMR systems is preferred.
Physical Requirements
  • Ability to work effectively in a fast-paced environment.
  • Physical ability to sit, perform data entry and view computer screen for long periods at a time.
  • Occasional exposure to communicable diseases and biohazards.
  • Daily standing, walking, bending, and maneuvering.
  • May require lifting up to 50 pounds or more to transfer and/or turn patient with and without assistive devices.
Travel

Travel may be required.

Scheduled Working Hours

Normal work hours are 8:00 a.m. to 5:00 p.m., Monday through Thursday and 8:00 a.m. to 1:00 p.m. on Fridays. Hours may vary depending upon the needs of the position, department, and clinic.
