General

Schedule:

The general schedule for this position is 40 hours a week, Monday through Friday, 7:00 a.m. to 4:00 p.m. or 8:00 a.m. to 5:00 p.m.; shifts outside of the general schedule may be required, when necessary.

Position Overview:

Manages the efficient use of inventory and implements a supply system that keeps costs low. Verifies inventory computations by comparing them to physical counts of stock and investigates discrepancies and/or adjust errors. Ensures the stock items are marked, supplies are clean, and storage areas are in compliance with safety regulations. Determines proper storage methods, identification, and stock location based on turnover, environmental factors, and physical capabilities of facilities.

Keeps records on the use or damage of stock or stock-handling equipment.

Available to help with a facilities emergency. A pre-arranged shift change may be implemented for predictable emergencies like inclement weather.

Job Duties:

    Oversees and is responsible for the administrative aspect of the department.

    Provides coordination, leadership and assistance to others in performance of skilled work.

    Interviews, selects, trains, supervises, directs and evaluates employees.

    Coordinates, oversees, and inspects all work to ensure code/safety compliance and quality of work.

    Inspects needs. Determines what materials are needed. Schedules and assigns work to subordinates.

    Conducts studies and makes recommendations on requirements, supply needs, etc., for budgeting and planning, and prepares purchase requests as needed.

    Responsible for ownership and safe operation and care of equipment, use of materials, and control of inventory within assigned shop.

    Assists Physical Plant staff and orders supplies/materials in accordance with policies, procedures and statutes via Purchasing Card or Purchase Order after obtaining and evaluating best price, delivery time, etc. and arranges and tracks delivery.

    Informs other shop supervisors of the delivery dates for materials and supplies on order.

    Data entry of on-line requisitions and of supply/material delivery status into the automated work order system.

    Assists in preparing bid specifications and obtains quotes from several vendors for purchases in accordance with purchasing department guidelines. Analyzes quotations and recommends award to vendor. Prepares supply orders and supporting documentation.

    Meets and works with vendors to guarantee supplies/materials availability and competitive pricing.

    Maintains MSDS sheets received from vendors.

    Visually distinguish colors in products, documents, and materials.

    Contacts vendors and arranges for meetings with supervisors to resolve warranty work.

    Conducts yearly physical inventory of Supply Warehouse.

    Review materials at varying distances and levels of detail

    Safely operate various machinery, tools, and equipment

    Reconciles Procard billing statement.

    Communicate effectively with others using verbal communication and multiple formats, including phone, radio, and email.

    Monitors warranties.

    Monitors supply stock minimum and maximum inventory levels and reorders stock as needed.

    Provides assistance to others as requested.

    Performs other related duties as necessary to support the UCO mission.

Qualifications

Required:

5+ years of experience or equivalent combination of education and experience. Requires work experience that provides knowledge of and exposure to fundamental theories, principles, and concepts. Requires the application of expertise in a chosen field to achieve results.

Must have a valid driver's license, clean driving record, and be able to operate a typical motor vehicle.

Qualifications Preferred:

Two years supervising experience.

Knowledge/Skills/Abilities:

    Ability to lead people, communicate clear, concise directions and coordinate work assignments of subordinates.

    Ability to learn computer skills associated with this position.

    Ability to plan and organize complex programs and projects.

    Ability to analyze problems and develop practical solutions.
