Zevenbergen Capital Investments LLC (ZCI) is a forward‑thinking, boutique, investment advisory firm specializing in growth equity investing built on a foundation of fundamental, bottom‑up research. We have over 40 years of experience serving both institutional and individual clients across the US and are looking to add a top‑quality individual to our team in Edmonds, Washington.
We are seeking a reliable and detail‑oriented Office Administrator to support daily office operations and create a welcoming, organized environment for employees and visitors. This part‑time role is ideal for someone who enjoys multitasking, providing excellent service, and contributing to a positive workplace experience. Hours for the role are 9:00 AM to 2:00 PM, Monday through Friday at our Edmonds, WA office.
The ideal candidate should welcome challenges, embrace a fast‑paced environment, be resourceful and able to work independently, possess outstanding organizational skills and be able to communicate effectively with all members of the ZCI team, as well as clients. In joining a small firm, this candidate must be able to take on a variety of tasks and projects that often involve multiple functional teams.
Key Responsibilities- Deliver a professional and high‑quality experience for guests and visitors, anticipating needs and building positive relationships.
- Serve as the first point of contact by answering incoming calls, providing general information, and routing inquiries appropriately.
- Manage incoming and outgoing mail, packages, and deliveries in a timely and organized manner.
- Order and maintain office and kitchen supplies, track inventory levels, and coordinate receipt and payment documentation.
- Maintain cleanliness and organization of shared spaces, including reception, conference rooms, and kitchen/break areas.
- Coordinate catering and meal orders for office and meetings and provide logistical support for internal and client‑facing events.
- Coordinate with charitable organizations on donations, receipts, event sponsor ships and employee event attendance.
- Maintain the firm‑wide calendar as a central resource, ensuring accuracy and timely updates so all staff have visibility into key dates and firm activities.
- Provide administrative support for facilities and vendor coordination, including scheduling, follow‑up, and communication with service providers under the direction of the firm’s facilities manager.
- Provide support for various administrative tasks, including office management, coordination of travel arrangements, scheduling of all‑staff meetings, lunches and all company events.
- Work alongside ZCI’s operations and business administration teams to assist with other projects, as necessary.
- 2+ years of experience in an administrative or office support role, preferably in a professional environment.
- High school diploma or equivalent required;
Associate’s or Bachelor’s degree preferred. - Strong interpersonal skills with the ability to create a welcoming and professional atmosphere.
- Support the firm’s compliance culture by maintaining confidentiality of client information, following established document handling and retention protocols, and escalating any unusual client inquiries or situations to the appropriate team member.
- Highly organized with strong attention to detail and accuracy.
- Proactive approach, able to manage multiple tasks, prioritize effectively, and meet deadlines.
- Comfortable working both independently and collaboratively in a team environment.
- Proficiency in Microsoft Office Suite required; familiarity with CRM platforms (e.g., Salesforce) or custodian portals plus.
- Hours:
9:00 AM – 2:00 PM Monday–Friday in our Edmonds, WA office. Availability for occasional additional hours, agreed upon in advance (e.g., evening client events, etc.). - Salary Range: $30 – $35/hour plus discretionary bonus potential.
- Paid time off: Three weeks of vacation per year (pro‑rated for part‑time hours).
- Paid sick & holidays: 1 hour sick leave per 40 hours worked and 10 holidays per year.
