We are looking for a motivated and experienced Office Administrator to join us at our Nisku office.

Position Summary:

Reporting to the EVP Operations, we are looking for an Office Administrator to join the team in our Nisku office.

Responsibilities:

The Office Administrator is a key member of the Equipment Division. The role responsibilities include but are not limited to:

  • Utilize and maintain the organization’s ERP system to input, update, and manage administrative, financial, and operational data, ensuring accuracy, data integrity, and compliance with established processes.
  • Maintain the document control system and filing to ensure accuracy, confidentiality, and compliance
  • Coordinate incoming and outgoing calls and mail.
  • Serve as the primary point of contact for internal and external stakeholders
  • Oversee the inventory of office supplies, ordering new supplies as necessary to keep the office running efficiently.
  • Provide administrative support to leadership, including scheduling, correspondence, and meeting coordination
  • Compile and submit expense reports, ensuring accuracy and timely submission
  • Draft, review, and distribute clear, accurate, and timely internal and external communications
  • Responsible for operating and maintaining office equipment, such as copiers, fax machines, and computers, ensuring everything is functioning properly.
  • Prepare, review, and distribute reports, and internal documentation for Nisku team members.
  • Liaise with Procon Travel to coordinate site travel for personnel and visitors.
  • Perform other related duties as assigned.
  • Qualifications / Requirements:

  • Diploma in Office Administration, or other related fields; or
  • Completion of high school diploma and equivalent combination of education and experience
  • Minimum 3 years related administrative experience.
  • Experience working in a multi-jurisdictional workplace.
  • Ability to interpret and transpose numerical and aliphatic data
  • Strong organizational and verbal/written communication skills
  • Proficient with spreadsheets including formulas, pivot tables, and data validation in Excel, power point and Microsoft Office.
  • Ability to problem-solving, resolving discrepancies between timecards and reported hours
  • Analytical and problem-solving skills with attention to detail
  • Ability to maintain confidentiality and discretion
  • Ability to work well under pressure and meet deadlines
  • Ability to multitask and prioritize workload
  • Ability to work effectively in both office and remote environments
  • Bilingual (English/French) is considered an asset
