Role Description
The Document Control Clerk is a full-time, on-site role based in the Greater Edmonton Metropolitan Area. This role is responsible for organizing, tracking, and maintaining technical documents, records, and files related to projects, products, and internal processes, ensuring that all documentation is accurate, up to date, and easily retrievable. The role also involves collaborating closely with engineering, sales, and operations teams, responding to document requests, and providing clear communication regarding document status and changes.

Maintain the Project Document Library and ensure all documentation—from purchase orders to general assembly drawings—is accurate and up-to-date. Submit documents via portals to global recipients and track deadlines. Collaborate closely with a cross‑functional team internally and externally. Communicate with vendors and engineering firms to address feedback and revisions. Streamline processes by creating templates and transposing information.

Qualifications

Experience in document control, administrative support, or similar roles preferred.

Strong attention to detail and excellent organizational skills.

Comfortable with document management software (Coreworx experience is a plus—training provided).

Team-oriented with strong communication skills.

Proficient in Microsoft Office (Outlook, Word, Excel).

Adaptable and motivated to learn in a fast-paced environment.

The following education, training, or equivalent experience would be considered an asset:

Experience in Document Control, Records Management, Project Administration, Engineering Administration, Administrative Support, or a similar role.

Completion of, or enrollment in, a related program from Mac Ewan University, NAIT, or a similar post‑secondary institution.

Relevant programs may include:

Mac Ewan University – Library and Information Technology Diploma

Mac Ewan University – Office Assistant Certificate

NAIT – Business Intelligence and Information Management Certificate

NAIT – Quality Management Certificate

Candidates with experience in industrial, manufacturing, energy, oil & gas, engineering, construction, or project‑based environments are encouraged to apply.
