Job Description

Overview

We are seeking a Document Control Administrator to support our project teams by ensuring accurate, timely, and compliant management of project documentation across all phases of execution.

This role is critical in maintaining document integrity, supporting project coordination, and ensuring all technical documentation including drawings and specifications is properly controlled, tracked, and distributed.

Responsibilities

  • Review project documents and drawings for completeness and basic accuracy
  • Enter document details into the document management system (DMS)
  • Maintain organized electronic filing systems in accordance with project standards
  • Distribute drawings, specifications, and documents to project team members and stakeholders
  • Track and record document submissions, transmittals, and updates
  • Ensure documents are shared using approved systems and processes
  • Assist in updating project documents and maintaining current revisions
  • Help track document status, including reviews, approvals, and outstanding items
  • Maintain document logs and ensure records are accurate and complete
  • Support document audits by identifying missing or incomplete records
  • Follow up with team members to help resolve documentation gaps
  • Provide general administrative and coordination support to project teams
  • Help organize and prepare documentation for handover to stakeholders

Qualifications

  • High school diploma required; post-secondary education in business, administration, engineering technology, or a related field is an asset
  • Strong written and verbal communication skills
  • Basic to intermediate proficiency in Microsoft Office (Word, Excel, Outlook)

  • Organized with the ability to manage multiple tasks and deadlines
  • Willingness to learn construction terminology, drawings, and project processes
  • Ability to quickly learn new software and document management systems
