Location:

TELUS Health Care Centre — Toronto (in-clinic position only)

Status:  Full Time Temporary (ending August 2027)

Responsibilities
Under the direction of the Clinic Manager, you will be responsible for performing a variety of administrative and clerical tasks.

Greeting patients and managing patient intake. Answering and routing incoming calls

Scheduling appointments for patients

Providing daily administrative support to the medical office and clinical team (physicians, nursing, chart prep, CSRs, transcription, reception and flow) to ensure efficient operation and flow of work

Working in collaboration with the medical office team to ensure proper process and procedures are in place to manage administrative aspects of special client accounts

Maintaining a high level of current product and service knowledge

Maintaining and modifying confidential medical electronic/paper filing/retrieval and transfer methods, systems, formats and information

Responding promptly to questions and concerns from clients, employees and physicians

Maintaining confidentiality and following departmental guidelines

Able to identify and document process shortfalls that present themselves and communicate issues to management

Recommending possible solutions to minimize and remove barriers to the administrative workflow and office processes for review, approval and further direction

Managing monthly inventory, supply checks of office supplies and maintaining the office supply room

Managing the flow of guests in the clinic in coordination with the Flow Coordinator and other team members, including physicians

Participating in special projects and quality assurance initiatives

Performing other related clerical activities and cross‑functional responsibilities as assigned

Performing other related duties

Qualifications

High school diploma with a minimum of 1–3 years of relevant experience working in a fast‑paced environment, providing a high degree of customer service

1–3 years of medical office administration experience

Excellent communication skills, both verbal and written

Attention to detail and great work ethic

Very good computer skills and proficiency in Microsoft Office suite

Strong organizational skills; multitasking and time‑management skills, with the ability to prioritize tasks

Ability to work autonomously and demonstrate initiative and good judgment

Resourceful and proactive when issues arise

Passion for working within a collaborative team and providing amazing guest experiences

Upbeat, outgoing and positive attitude

Ability to work effectively within a team

Problem solving and applying guest resolution tactics

Customer service experience (preferred)

Reception experience (preferred)

Experience with medical transcription (preferred)

Salary Range: $20‑$37
