Reports to the Director of Sales and supports the new home sales process by providing administrative support to the Sales Department and ensuring efficient flow of sales documentation and information.
Responsibilities- Generate and process reports, payroll and realtor invoices.
- Create customer correspondence and possession letters.
- Manage scheduling, orchestrate agendas, and record minutes for meetings.
- Develop dynamic presentations and visuals for meetings.
- Support processing of sales offers, Fintrac and financial documentation to ensure accuracy.
- Maintain information in SharePoint and related programs.
- Identify and implement process improvements to boost productivity.
- Use tools such as Hubspot, Fin tracker, Newstar, and Docu Sign for task management.
- Provide administrative support to additional departments as necessary.
- Resolve customer concerns and complaints, ensuring appropriate follow‑up and documentation.
- Coordinate show home set‑ups and move‑outs with IT, Accurate, movers, Sales/Marketing, and Site Supervisors to ensure timely execution.
- Conduct site visits to verify signage placement and follow up with sales team.
- Schedule online leads and assist with show home coverage as needed.
- Assist with events, promotions, signage and community materials in cooperation with Marketing.
- Assist in identifying and implementing sales process improvements.
- Liaise with clients to ensure excellent customer service and collect signed documents.
- High School Diploma or equivalent.
- Minimum 3 years of administrative assistant or sales administration experience.
- Verification of criminal record check.
- Comfortable with office equipment and Microsoft Office programs (Outlook, Word, Excel, Teams, SharePoint, PowerPoint).
- Experience with CRM or sales software such as New Star, Lot Works, Fin tracker, Docu Sign or similar.
- Strong communication, organizational and listening skills; detail oriented; team player.
