Qualifications:
A college level Office or Business Administration Certificate, one-year university, or equivalencyTwo to three years of experience within an office or educational environment requiring similar dutiesHigh level skills with MS Office including:
Word, Excel, Access, PowerPoint, and OutlookExcellent communication skillsStrong service orientation and excellent customer service skillsAbility to work in a fast-paced environment and adapt to changing technologyTeam orientedAbility to manage multiple tasks and deadlinesA clean criminal record check prior to commencementA valid Class 5 driver’s licenseA combination of education, training and experience may be consideredNature and Scope of Work:
The Administrative Assistant, Chair, Academic Upgrading reports to the Chair, Academic Upgrading and is responsible for the direct administrative support to the Chair, specifically, and the department, in general. The Administrative Assistant works closely with the team to support all program initiatives at the College.
Duties and Responsibilities:
Providing Administrative Functions for the Chair
Reception for officeStudent attendance reports for auditsOrder supplies and keeping track of campus budgetsTrack employee personal development (PD) applicationsCompile queries and data reportsCompile site estimates and site requestsUpdating Master Program Plan entriesProcess VISA receipts and submit reportsCompiling and filing Monthly financial reportsTracking and coding expense claims, petty cash, and campus vehicle expensesFile managementResearching, drafting and tracking documentation as requiredCompiling student completion reportsCoordinating and Providing Administrative Functions for the Department
Marks entry in Agresso and the Provincial Approach to Student Information (PASI)Student attendance and administrationUpdating student listCompiling assignment and program schedules, and exam schedulesUpdating the program and student handbooksDistribution and collection of examsUpdating course outline templatesCompile program book estimates and communicating with bookstore for new materialsOrdering instructor and learner resourcesOnsite Learner and Instructional Staff Support
Student book ordersAssisting with orientation and distributing booksAssisting campus instructors with Educational Plans in DocushareSkills/Knowledge:
