Job Description Summary The Donor Services Coordinator provides a donor-centered experience for all supporters of The Salvation Army and supports the successful fundraising strategies with the development team by receipting gifts and sending thank you letters; financial reconciliation, generating reports, managing expenses, managing the national monthly giving program and supporting the areas of annual, major, and planned giving.
Key Accountabilities Manage all donation paperwork, receipts, thank-you letters, and respond to donor inquiries via various channels, ensuring excellent service and prompt follow-up.
Coordinate In-Memoriam and tribute gift processes and ensure proper acknowledgment and tracking.
Maintain donor records in Raiser’s Edge NXT, including data entry, contact updates, duplicate receipts, and donor communications.
Address and resolve donor inquiries received via national call centers or the Finance department.
Support team operations during absences or peak periods to ensure seamless donor experience.
Conduct research on prospective donors and prepare detailed reports to support fundraising strategy and development staff.
Assist development officers with campaign strategies, contact recommendations, and stay current on philanthropy trends.
Deposit donations, manage departmental files, organize team activities, maintain calendars, and support financial reporting and reconciliation tasks.
Ensure CRA donation guideline compliance, handle gift reversals, update donor records, and manage the annual tax receipt process.
Administer the national monthly giving program, including donor setup, transaction issue resolution, donor stewardship, and coordination with Finance for reconciliation and compliance.
Education and Experience Qualifications Post-secondary diploma of 2 to 3 years’ in a related field or relevant experience equivalent
Three years of experience in donor relations or customer service, using Raiser’s Edge NXT or a similar Customer Relationship Management system
Proven ability to manage multiple tasks in a fast-paced environment with shifting priorities.
Highly detail-oriented with a strong focus on accuracy in all tasks.
Advanced skills in MS Office, particularly Excel and Word; exceptional data entry and knowledge of fundraising software.
Friendly, diplomatic, and responsive in donor interactions while ensuring compliance with policies and regulations.
High ethical standards, sound judgment, and ability to maintain trusted relationships and confidentiality.
Excellent analytical and problem-resolution skills with a strong donor or customer service mindset.
Compensation The target hiring range for this position is $52,811.20 to $65,998.40 with a maximum of $79,206.40. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
