Our client is seeking a highly organized and detail-oriented Executive Assistant & HR Administrator to join their team. This is an excellent opportunity for a proactive professional who thrives in a fast-paced environment and enjoys balancing executive support, human resources administration, payroll coordination, and operational support.
Reporting to senior leadership, the successful candidate will play a key role in ensuring the smooth day-to-day operation of the organization while supporting HR initiatives, employee programs, and administrative processes. The key responsibilities include:
Executive & Administrative Support
Coordinate day-to-day administrative activities, including management of the master calendar, shared email accounts, document management systems, and maintenance of the organization's document library.Prepare reports, correspondence, presentations, and other administrative documentation with a high degree of accuracy.Collect, organize, maintain, and analyze data to support reporting, reconciliation, process control, and organizational decision-making.Manage multiple priorities and deadlines while maintaining exceptional attention to detail.Human Resources Support
Provide administrative support across the employee lifecycle, including:Recruitment coordinationJob postingsCandidate screening and interview schedulingNew employee onboardingOffboarding activitiesEmployee documentation and records managementLeave administrationAnnual certifications and compliance trackingMaintain employee files and HR records while ensuring strict confidentiality.Support policy reviews and research initiatives by gathering information and preparing recommendations for leadership.Assist with employee communications, programs, resources, and engagement initiatives.Payroll & Benefits Administration
Assist with payroll administration and related documentation.Coordinate employee benefits administration and support enrollment and maintenance activities.Track performance review timelines, documentation, meeting coordination, and completion status.Training & Projects
Prepare and maintain employee handbooks, training materials, and internal resources.Coordinate training sessions, staff events, and employee development initiatives.Support special projects and process improvement initiatives designed to enhance operational efficiency and organizational effectiveness.Collaborate with management and team leaders on continuous improvement efforts and organizational initiatives.The ideal candidate is a proactive and service-oriented professional who enjoys supporting both people and processes.
