Major Job Functions
Drive financing progression and deal readiness (30–35%)
Coordinate financing activities from quote through funding and credit releaseStructure finance transactions in alignment with lender and program requirementsPrepare and manage finance quotes and related documentationEnsure financing terms, rates, and structures are accurately reflected in systemsMonitor deal progression and escalate risks or delays to appropriate stakeholdersEnsure all approved conditions are satisfied prior to credit release and invoicingCredit application and documentation management (20%)
Collect, review, and validate credit applications, AML/KYC, and supporting documentationUnderstanding of AML/KYC and compliance requirementsGather insurance certificates, void cheques, and corporate registry documentationCoordinate completion of required documentation and ensure accuracy and completenessMaintain organized, complete, and audit-ready deal filesInput and manage data within financing systemsFunding, lender coordination and credit release (20–25%)
Submit and manage financing applications through captive and third-party lendersFamiliarity with lending terms, leasing structures, and funding workflowsCoordinate with internal credit teams and external lenders to obtain approvalsManage conditions precedent and funding requirementsAssemble complete funding packages to support timely fundingTimely and accurate progression of deals from application through funding and credit releaseStrong knowledge of equipment financing processes and documentationIssue credit release authorization once all funding requirements are satisfiedEnsure all transactions meet risk, compliance, and funding standardsDeal coordination and process execution (10–15%)
Track deal progression and maintain accurate status updates within systemsCoordinate follow-ups related to outstanding documentation and funding conditionsCollaborate with Sales and internal stakeholders to support deal execution timelinesMaintain accurate deal records and documentation trackingTrade processing and administrative coordination (10–15%)
Coordinate and process trade-in transactions, including documentation and ownership verificationManage trade payoff requirements and internal trade-clearing processesProper execution of trade processing and registry requirementsPrepare registry searches and registrations (PPSA and corporate registries)Maintain accurate records of financing and trade activitySupport general administrative functions related to financing and deal processingCompliance and process management (5–10%)
Ensure compliance with lender requirements, company policies, and regulatory standardsMaintain audit-ready financing documentation and recordsIdentify risks, discrepancies, or gaps and escalate appropriatelySupport continuous improvement of financing processes and workflowsEducation & Experience
3–5+ years of experience in financing administration, lending, or sales supportExperience in equipment finance, leasing, banking, or commercial finance environments preferredProficiency with Microsoft Office and financing/CRM systemsPost-secondary education in business, finance, or related field is considered an assetExperience in structured, process-driven environments preferredPreferred (Non-mandatory)
