Manager Multi-Parish/School Accounting
Under the direct supervision of the Chief Financial Officer (CFO) and in accordance with established policies and procedures, manages the Department of Multi-Parish/School Accounting (MPSA). The Manager is responsible for the oversight of the day-to-day activities of the MPSA accountants and clerks; maintaining ongoing relationships with parishes and schools participating in the program; and developing and promoting the program to interested parishes and schools.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other related duties may be assigned.
GENERAL- Maintain calendar listing meetings, appointments, workshops, seminars, conferences, etc.
- Working knowledge of Generally Accepted Accounting Principals (GAAP) and fund accounting including internal controls.
- Assure internal controls are followed and evaluate effectiveness.
- Responsible for developing and promoting the MPSA Service including:
- meeting with Pastors/Principals about the benefits of the program.
- developing a strategic process parish or school specific.
- educating parish/school finance councils about the program and related duties of the council members.
- Coordinate training and presentations to parishes and schools as needed.
- Participate in regular staff meetings as directed by Diocesan Administration.
- Prepare, administer, and analyze office budget. Monitor departmental revenues and expenses and approve invoices.
- Troubleshoot computer software related issues.
- Coordinate with Stewardship Department to assist the pastor or principal with evaluating financial condition of parish.
- Coordinate with Construction Department, when necessary, regarding construction payments
- Coordinate with CFO with internal control failures.
- Other related duties as assigned
- Assist MPSA’s and oversee interaction with Pastors, Principals and related Finance Councils with budgeting as follows:
- Preparation of budget salary worksheet
- Preparation of annual budget
- Evaluation of actual financial results to the budget
- For Schools only, coordinate with Superintendent on budget and forecast packet submission to Financial Services Office for Diocesan Finance Council presentations
- Review monthly, quarterly, and annual reports and financial statements, including journal entries and reconciliations.
- Oversee MPSA’s in monitoring monthly performance to the budget and assist MPSA’s with communicating with the Pastor and/or Principal and related Finance Councils regarding the financial position for the location.
- Oversee management of parish operational and financial records when necessary.
- Oversee management of bookkeeping functions including, but not limited to, payables and receivables and all other parish revenue and expenses.
- Provide analysis of financial data.
- Oversee development of methods in response to diocesan audit findings.
- Oversee MPSA support to non-MPSA bookkeepers with accounting software, budgeting, accounting issues
- Ensure that payroll process is completed and processed for all MPSA and non-MPSA parishes and schools so that it is ready for submission by the Diocesan Controller (or other designee)
- Oversee submission of 1099 reports for MPSA location.
- Oversee completion of financial statements by accounting firm with accounting entries and bank reconciliation issues for assigned locations.
- Always maintains a professional relationship with Pastor, Principal, Superintendent, Parish/School staff, volunteers, committee members, diocesan staff.
- Serves as the liaison, representing the Bishop and CFO, between Parishes Schools and Diocese in matters of accounting
