Summary of Responsibilities

Reporting to the Manager and working closely with the HR Coordinator, the Human Resources Assistant provides day-to-day implementation and processing related to HR functions. Responsibilities include but not limited to data entry, electronic and hard copy file management, recruitment, onboarding, employee experience, quality assurance, and general HR administration. The HR Assistant works closely with the HR/Payroll team and provides ongoing communication with hiring supervisors and employees on a regular basis.

This position has access to confidential and personal information about BGC staff and requires a high degree of discretion, competence, and confidentiality.

Job Duties
  • Provides full cycle recruitment and assists with onboarding and overall employee experience.
  • Tracks and provides reports on recruitment and makes recommendations for improvement.
  • Provides data and information reports as requested by the Manager and/or the Director of People and Planning.
  • Participates in planning, implementation and use of automated HR Systems and assists with clerical and technical support for HR activities.
  • Creates, maintains, and updates hard copy and electronic personnel files and other related HR records including archive and confidential destruction following privacy and legal requirement guidelines.
  • Enters data including updating information as applicable in BGC Human Resources Information System, Attendance Management (Scheduling), and other related platforms used by HR.
  • Provides back up support to Coordinator when they are covering payroll in the absence of the Payroll and Benefits Administrator.
  • Faxes, photocopies, and scan documents as required and locates filed materials on request ensuring materials are in order and provided to authorised recipients only.
  • Assist with processing, review, and reporting of annual certification requirements (i.e., driver's abstracts, first aid, etc.).
  • Assists with the generation of reports out of Comvida HRIS/Payroll applications as requested.
  • Maintains electronic system and hard copies as required for WorkSafeBC claims.
  • Assists with special projects.
Requirements
  • Clear Criminal Record Check (Vulnerable Sector).
  • Certificate or Diploma in Human Resources (related field or commensurate experience may be considered).
  • One year of experience as an HR Assistant or similar role.
  • Demonstrated experience/competency using a variety of software programs such as HRIS and attendance management to process and file information (familiarity with Comvida is an asset).
  • Experience in recruitment and onboarding.
  • Proficiency with MS office Suite and experience using a variety of databases to input information and generate reports.
  • Motivated team player with the ability to work independently when required.
  • Excellent communication, written and verbal skills.
  • Excellent organization and time management skills.
  • Exceptional critical thinking skills.
  • Attention to detail and accuracy.
Note

This is a regular part-time position with an option to work 22.5 or 28 hours per week depending on suitable candidates' availability (salary starts at $29,250 or $36,400 respectively). Position includes group benefits at six months, pension after one year, three weeks paid vacation leave in first year, paid sick and personal leave, paid birthday off and up to 5 days statutory holiday substitution days per year to celebrate/recognize religious, cultural, and/or personal days that are important to the employee where those days are not currently recognized as statutory holidays in BC/Canada.
