To build on a strong foundation of achievement and contribute to the realization of its ambitious institutional goals, Southern Illinois University Edwardsville (SIUE) invites applications for the position of Office Administrator
- College of Arts and Sciences (CS26-276). The office administrator supports the College of Arts and Sciences with a wide range of administrative functions.
- Provide administrative support to faculty and staff in assigned units and triage complex inquiries.
- Serve as the primary point of contact for new faculty acclimation, ensuring all necessary approvals are in place for new staff materials, access, and services, and prepare and route contracts and job change requests for faculty, graduate teaching assistants, and guest artists and scholars.
- Coordinate lodging, parking, and other university support for guest artists and scholars.
- Hire, train, evaluate, discipline, and terminate student workers who assist in department offices.
- Review payroll certifications for accuracy and approve or dispute them based on information received.
- Provide administrative support to committees of assigned units and work closely with committees to meet their needs.
- Navigate complex scheduling for interviewees and ensure search committees have the necessary materials and hiring information.
- Support scholarship and award processes by communicating with department committees, student scholarship recipients, and other units as needed.
- Provide support for special projects, licensing, and accreditation.
- Work with the Dean/Directors to create and maintain requested reports and materials and assist with special events such as guest lectures and productions.
- High school diploma or equivalent.
- Any one of the following experience levels:
- Four (4) years of work experience comparable to the third level of this series.
- Two (2) years of work experience comparable to the fourth level of this series.
- Knowledge of administrative procedures and systems, including record management.
- Knowledge of computer systems and software.
- Knowledge of arts and communication disciplines.
- Excellent communication skills.
- Ability to assess costs and benefits and make appropriate decisions.
