Overview

Provide administrative assistance for the Allied Health Programs Division Chair on campus and off campus directors faculty college staff students and customers.

Responsibilities
  • Receptionist to public patients, students and staff. Provides Administrative Assistant duties to instructors.
  • Answers directs and assist incoming calls for all Allied Health Programs.
  • Notifies students concerning cancellation of classes and posts notices during instructor absences
  • Prepares mailings of departmental materials.
  • Maintains office records including budget information purchase orders and completes credit card reconciliation monthly.
  • Maintains inventory budgets and orders supplies for Allied Health programs.
  • Maintains PTA and MT Program library.
  • Compiles and disperses data from student - clinical facility yearly evaluations.
  • Prepares correspondence and compiles data for accreditation purposes.
  • Prepares copies and revises Student handbooks Clinical Instructor Handbook and other forms as needed.
  • Maintains student records and cohort files according to accreditation standards.
  • Prepares and maintains accreditation information.
  • Schedules monthly appointments for massage therapy clinic and maintains client information forms for massage therapy clinic in accordance with HIPAA requirements.
  • Types proofreads and assists with preparation of course materials syllabi tests handouts brochures and presentations for faculty.
  • Proctor Exams.
  • Assists in organizing special events meetings workshops seminars and other activities.
  • Assists with coordinating and maintaining contracts with external facilities.
  • Receives and delivers mail and messages to instructors.
  • Enters relevant data into the college's data management system.
  • Assists students with basic questions regarding allied health programs and directs students appropriately.
  • Performs other related duties as assigned.

    Job Requirements

    Education Requirements:

    • High school or equivalent required;
      Prefer related AAS.

    Experience Requirements:

    • Minimum experience in an office setting, related experience in college setting preferred.

    Knowledge:

    • Business etiquette, general office procedures.

    Skills:

    • Excellent interpersonal, oral and written communication, and organizational skills;
      Microsoft Office XP; and work processing skills.

    Personal Requirements:

    • Detail-oriented, self-starter who enjoys relating to a diverse population of students, staff and public in a fast-paced work environment with multiple interruptions.
