We are looking for a Hospitality Specialist to support our CDI mission in Building Stronger Communities. By supporting the daily needs of the CDI team, you will be supporting our mission and developing a better tomorrow.
About the RoleSchedule: Part‑Time; 20 hours per week. CDI will work together to establish a consistent schedule that aligns with the selected candidate’s availability and the needs of the team.
Hospitality specialists are primarily tasked with welcoming visitors and creating a warm and friendly atmosphere to make both guests and our team comfortable. This position will report to the People Success lead and be part of a team of hospitality specialists across our other offices. Based in the Effingham office, this position will work with many of the service leaders and support a variety of areas within the company including operations, office management and facilities.
This role plays a key role in front desk operations, office space logistics, event planning and other special projects as assigned.
- Answer phones, communicate via email, and interact professionally with clients, customers and team members each day.
- Demonstrate problem‑solving abilities and handle issues professionally and efficiently.
- Distribute organization‑wide communication to team members and prepare new hire materials.
- Maintain a welcoming, clean work area that is organized and free of clutter.
- Prioritize safety and security when managing the front desk operations.
- Ensure the highest level of confidentiality and professionalism in all interactions, handling sensitive information with discretion and integrity.
- Handle purchasing gift cards as necessary.
- Partner with People Success team on new team member workstation set up.
- Organize and support travel reservations (e.g., hotels, cars and conferences) requested by team members.
- Support President and People Success Lead with administrative tasks and special projects as needed.
- Collaborate with vendors to ensure all requests are handled promptly (e.g., virtual technology services, copiers/printers, plant company, other office supplies).
- Responsible for daily mail or courier needs.
- Maintain a clean office environment between third‑party cleanings.
- Help with furniture tracking and order purchasing as needed.
- Manage office map and seating availability for office location.
- Order and stock office and safety supplies, office snacks and drinks to ensure the office maintains CDI hospitality standards.
- Prepare meeting rooms for interviews, internal meetings, CDI events or external meetings.
- Help with office decorating as needed to create an inviting space for team members and guests.
- Help set up and coordinate internal company‑wide meetings.
- Assist with coordinating office events in partnership with internal committees, People Success team, Hospitality team or President.
- Other duties as assigned or tasked for special events; during these events hours may be flexed.
- High school diploma.
- Friendly, helpful and customer service‑oriented attitude.
- Detail oriented with strong organizational and time‑management skills.
- Strong ability to problem solve and a solution‑focused mindset.
- Correspond effectively and professionally in both oral and written communication.
- Ability to work core hours when the office is open for clients and the CDI team.
- Proficient in Microsoft Word, Excel, Outlook and Teams.
- Prolonged periods of sitting or standing; frequent bending, twisting and reaching; must be able to occasionally lift 10–30 lbs.
