The Integrations Support Manager plays a critical leadership and coordination role in ensuring the successful operational setup of De Novo and Relocation offices. This position delivers a world-class virtual setup experience by serving as the primary liaison between Support Office departments, the De Novo Integrations team, and Field Operations. The Integrations Support Manager drives standardized processes, proactive communication, and continuous improvement to ensure each office opens with operational readiness, efficiency, and long-term success, while modeling Heartland Dental’s vision, mission, and core values.

Below is an overview of the duties and responsibilities you would take on in this role:
- Deliver a world-class virtual setup experience for De Novo and Relocation practices by ensuring each office is operationally ready, aligned to Heartland Dental standards, and supported through standardized pre-opening, setup week, and post-opening processes.
- Lead proactive pre-opening alignment with Doctors, PMOs, RMOs, and Field Operations by co-hosting the 10-week prior call, reinforcing expectations, reviewing projected open dates, sharing resource links, and piloting process improvements such as moving the Final Q&A call to two weeks prior to setup.
- Own supply readiness and opening order governance by reviewing Opening Order Supplies with Doctors and PMOs, partnering with Procurement on edits and subtractions, educating teams on the Supply Budget Worksheet, training on the Tag System with the Supplies Owner, and partnering with Henry Schein Clinical Advisors to review initial post-open supply orders and Dentira resources.
- Strengthen training coordination and resource accessibility by scheduling future Dexis 3D pano trainings, evolving Nitrous Training into a monthly coordination process, creating SharePoint-based video resources, confirming completion of BA trainings, and scheduling Corporate Compliance training with internal teams.
- Drive setup week standardization and communication by developing a streamlined Setup Week "In a Box" model, reducing manual printing and laminating, researching cost-saving options for pre-printed materials, and posting timely Teams channel updates with resources and need-to-know information leading up to Setup Week.
- Ensure clinical, technology, and facility readiness by reviewing Matterport scans, partnering with Construction Project Managers on punch-walk follow-up, confirming marketing materials and mailbox readiness, validating operatories, x-ray sensors, pano, waterline shock/testing, blu tubes, Pro Edge partnership needs, and completing technology test runs for Orientation Prep.
- Lead OSHA, biomedical waste, and compliance readiness by evaluating the Biomedical Waste Inspection process, partnering with the OSHA Coordinator and Compliance team, confirming OSHA documentation and binders are complete, completing virtual walkthroughs, and escalating concerns to the appropriate internal teams.
- Partner cross-functionally to support operational launch needs by aligning with BA teams on Dentrix schedule setup, F/F day expectations, VOI and confirmation policy resources, financing material visibility, iPad setup for One Click Submit, and Doctor account setup for Direct Refer and e-prescribe as applicable.
- Track outstanding items, trends, and escalation opportunities by creating department-level tracking forms with completion dates and time frames, communicating risks and trends to leadership, sending transfer emails to PMOs, RMOs, and DNI Specialists, and ensuring unresolved items have clear ownership and next steps.
- Support continuous improvement and sustainable growth by reviewing survey feedback, prioritizing setup week process enhancements, connecting with onsite De Novo Integration Specialists for readiness feedback, maintaining strong DNI alignment, participating in routine follow-up calls, and providing a minimum of quarterly onsite support.
- The position will have access to minimum PHI necessary for performing job-related functions; regular HIPAA training, aligning with the specific role and responsibilities, will be required; and the individual will need to protect PHI and maintain data safeguards.
- 2+ years Heartland Dental experience
