The Marketing Events Specialist plays a key role in planning and executing high-impact virtual and in-person events that advance Heartland Dental’s brand and strategic priorities. This role is designed for someone looking to grow a career in event strategy and planning, gaining hands‑on experience across event logistics, material delivery, coordination, and cross‑functional collaboration. The Specialist contributes to delivering consistent, high‑quality brand experiences while building foundational skills in budgeting, vendor coordination, and event execution.
The position is remote, with ongoing monthly travel required to support onsite events, team meetings, and event planning initiatives.
Heartland Dental is the nation's largest dental support organization, providing non‑clinical administrative support services to more than 3,000 supported doctors across 39 states and the District of Columbia in more than 1,900 dental offices. Each Heartland Dental supported office is unique to the community and the patients they serve. Supported doctors are the clinical leaders of their practice, retain full clinical autonomy, and establish their own care philosophies.

This position reports to the Marketing Events Senior Manager and is part of the Communications & Events Team, offering opportunities for learning, mentorship, and professional growth.
Responsibilities- Support the planning and execution of virtual and in-person events that align with Heartland Dental’s brand, mission, vision, and core values
- Lead defined work streams within large‑scale events, with increasing responsibility for end‑to‑end delivery over time
- Assist with event planning and logistics, including but not limited to project plans, timelines, registration, material development, organization, delivery, and post‑event follow‑up
- Partner with cross‑functional stakeholders to align event objectives and success metrics
- Support budget planning and management, applying cost‑conscious decision making while maintaining experience and quality
- Coordinate with external vendors, including trusted partners, event partners, and venues
- Oversee event materials, supplies, and branded swag inventory, including accurate tracking, organization, and coordination of shipping to ensure availability for seamless event execution
- Support on‑site event execution, providing world‑class customer service from set‑up through the event and breakdown
- Analyze event performance and attendee feedback to inform recommendations and continuous improvement
- Develop an understanding of enterprise event planning complexity, including field impact and cross‑functional coordination
- Contribute creative ideas and innovations to enhance event strategy, attendee experience, and operational effectiveness
- Additional projects as assigned
- Minimum of 2 years of experience in event planning, marketing coordination, communications, hospitality, or a related field, or an equivalent combination of education and relevant experience
- Demonstrated ability to manage multiple priorities, timelines, and details in a fast‑paced environment with strong organizational discipline
- Strong verbal and written communication skills, with the ability to collaborate effectively across teams and stakeholders
- Foundational understanding of event planning and execution, including logistics, timelines, vendor coordination, and on‑site support, with willingness to learn industry standards
- Customer‑focused mindset with a commitment to delivering high‑quality attendee experiences aligned with brand standards
- Collaborative, learning‑oriented approach open to feedback, coaching, and professional development
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and an ability to learn new tools and systems
- Willingness and ability to travel up to 30% (1‑2 trips/month) to support on‑site event execution, including occasional evening or weekend work as required
