Job SummaryThe Assistant Office Manager is a key member of the organization responsible for overseeing day-to-day office operations, financial management, payroll, employee benefits, and administrative coordination. This role ensures accurate bookkeeping, compliance with company policies and regulations, and smooth collaboration across departments. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities efficiently in a dynamic environment.
Responsibilities- Manage financial operations:
Verify transactions, reconcile accounts, and ensure accuracy in Quick Books. - Process payments:
Approve checks/ACH and maintain client auto-pay setups. - Handle invoicing:
Prepare and send client invoices and statements monthly. - Support tax and compliance:
Assist with annual tax filings, fixed asset reviews, and contract compliance. - Payroll:
Review bi-weekly payroll, process adjustments, bonuses, and benefits. - Administer benefits:
Coordinate open enrollment, renewals, and 401(k) contributions. - Maintain employee records:
Track certifications, licenses, and regulatory documentation. - Manage office operations:
Oversee supplies, events, and supervise administrative staff. - Assist HR processes:
Support hiring, onboarding, terminations, and PTO approvals. - Coordinate training & communication:
Schedule compliance training and update CRM/internal communications.
- Bachelor’s degree in communications, business, or another similar field.
- Proven experience in office administration, accounting, or related field.
- Proficiency in Quick Books and Microsoft Office Suite.
- Strong organizational, multitasking, and communication skills.
- High attention to detail and problem-solving abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Preferred:
- Experience managing payroll, benefits, and employee records.
- Familiarity with insurance and tax documentation processes.
- Office-based role, Hybrid up to 4 days a week onsite.
- Fast-paced environment that requires collaboration across departments.
- Must be able to remain in a stationary position for extended periods of time.
- Occasionally moves objects weighing up to 25 pounds.
Compensation: $75,000-$95,000, DOE
