About Us

Ballington Academy is a Public Charter School Educating Students from Transitional Kindergarten to Grade Six. We Offer an Innovative Science, Technology, Engineering, Arts, and Mathematics (STEAM) Curriculum for all Grades Using a Hands-on Project-Based Learning Approach, Teaching Real-World, 21st Century Skills. We are seeking a caring individual to help support our Students and Teachers in El Centro, CA.

Responsibilities

The Administrative Assistant provides essential support in managing daily administrative and office operations. This role assists with a variety of administrative functions, public contact, and multiple task management. The Administrative Assistant is responsible in handling office tasks, maintaining student records, coordinating communication, assisting in attendance data entry, and supporting staff, students, and families as needed.

  • Assist staff on the use of the computer and automated systems to include Student Information Systems, State systems, social media, etc.
  • Manages and coordinates supplies and inventory.
  • Maintains and organizes student records and enrollment packets.
  • Coordinates school, staff schedules and meetings.
  • Implements systems to increase productivity and effectiveness administratively.
  • Types letters, reports, forms and other finished copies from rough drafts or dictation when needed.
  • Performs reception duties; greet clients, families and the public, and answer and screen incoming telephone calls.
  • Respond to student requests as needed including general first aid needs.
  • Files all papers, documents, reports, etc.
  • Makes photocopies as required.
  • Maintains school calendar for Principal.
  • Maintains Student Information Systems and attendance records are up to date.
  • Assists with invoice recording, coding, and processing.
  • Supports school events and enrollment.
Qualifications
  • Minimum education of high school graduate or GED. AA degree (preferred) in Business from an accredited college and/or 2-5 years of paid work experience.
  • Must pass background check for the state of California.
  • Must be computer literate and have two years of data entry experience.
  • Experience with computerized record keeping process and e-mail and telecommunications.
  • Ability to operate independently.
  • Must possess organizational skills.
  • Must have skills in personnel management and training.
  • Must have the ability to interact with staff, the public, parents, and students.
  • Must have excellent command of the English language; oral, written and business writing skills.
