summaryunder general direction of the human resources director, or their designee, will perform a variety of duties assigned to the front desk reception area of the administration building. Subsequently, this position will be responsible for documenting all visitors, directing phone calls, receiving and providing agency schedules, maintain calendars and other duties as assigned.
essential duties- ability to answer a multi-line telephone system systematically documenting all incoming and outgoing calls, accurately transferring calls, recording messages, and providing factual information.
- announce drop off and pick up of clients to corresponding departments using office paging system.
- assists hr department in keeping employees current with compliance items such as certification, licenses, physicals, training, etc.
- assist recruiting efforts by screening applicants, setting up interviews, and completing reference checks.
- assist with leave of absence requests and communication log tracking.
- general clerical duties (e.g. Filing, entering data, distributing forms and applications, reports, etc.); enter and maintain accurate training attendance reports in a timely manner.
- keeping a visitor’s log – assures that all visitors sign-in at the front desk; delivery carrier log, assuring that employees receive mail and packages in a timely and efficient manner.
- organize and maintain the reception area in a professional manner.
- responsible for supplies inventory and ordering for administration office and break room.
- keep calendar up to date with training room and board room reservations
- tracking of check-out and check-in gas cards and other store business cards.
- greet and guide visitors to the appropriate department.
- maintain current job announcements, distribute and receive applications; whenever submitted, review applications for accuracy; inform applicants that a current dmv report is required at the time of hire.
- continuously strive to provide excellent customer service, interpersonal communication, follow-up and a source of accurate information
- occasionally assist director with minor administrative tasks
- other duties or special projects may be assigned.
- accurately compile and organize applicant packets; sign-in and announce interviewees.
- occasionally, will assist in the organization of quarterly meetings, staff meetings, board meetings and/or other events. Will assist in organization of board meetings binder and agency events.
- when called upon, assist human resources with bulletin board postings to assure compliance.
- maintain shared calendar on ms outlook.
- high school degree or equivalent (ged)
- california driver license
- clean dmv record (must provide at time of hire)
- maintain a current cpr & first aid certificate (provided at time of hire and renewed bi-yearly)
- ability to read, write, and communicate effectively in english and spanish (preferred)
- ability to type 30 wpm and do basic business arithmetic
- practical application of ms excel, ms outlook, ms power point, ms word for windows required
- ability to use standard office machines such as a personal computer, calculator, copier, fax machine, telephone, etc
visual/hearing ability sufficient to comprehend written/verbal and telephone communication.
ability to sit for long periods, standing, computer entry, walking, repeated bending, lifting and carrying up to 20 lbs, reaching.
ability to travel within and outside the county as needed.
environmental requirements: must be able to work indoors in a predominately sedentary position. Wide range of physical motion required to include bending, twisting, standing, walking, carrying boxes and supplies, sitting for long periods of time, answering the telephone, using hands to type and enter data and perform a wide-range of office and clerical duties.
