The Corporate Services Support Specialist provides administrative and operational support across Human Resources, Quality Management, Compliance, and Corporate Administrative functions. This position focuses on maintaining accurate records, organizing documentation, supporting administrative processes, and tracking activities that support daily operations, audit readiness, accreditation standards, and regulatory compliance requirements. This position requires an individual who is exceptionally detail-oriented, highly organized, dependable, and able to work effectively in a collaborative team environment.
The Corporate Services Support Specialist is responsible for ensuring that assigned administrative and documentation processes are completed accurately, on time, and consistently.
- Maintains electronic and physical records, files, binders, and documentation in accordance with organizational and regulatory requirements.
- Assists with personnel files, onboarding documentation, licenses, certifications, and workforce records.
- Supports Quality Management and Compliance functions through organization of audit materials, training records, and compliance-related documentation.
- Maintains tracking logs, spreadsheets, checklists, and reporting tools to support operational efficiency, documentation accuracy, and audit readiness.
- Tracks required trainings, certifications, renewals, and related deadlines using designated systems and tracking tools.
- Assists with preparing and organizing materials for audits, accreditation reviews, inspections, and internal monitoring activities.
- Performs accurate data entry and maintains the accuracy, completeness, and integrity of administrative and compliance-related records.
- Monitors and follows up on incomplete, missing, or outdated documentation and records.
- Assists with scheduling, meeting coordination, preparation of materials, and other administrative support requests.
- Answers and directs incoming phone calls professionally and assists with routine inquiries and requests.
- Scans, files, indexes, and organizes documents in accordance with established organizational practices and retention requirements.
- Maintains professionalism, confidentiality, and discretion while providing administrative support to the Vice President of Corporate & Administrative Services and related operational areas.
Education and Experience
- H.S Diploma or Associate's degree in a related field of study required.
- One year of work experience in clerical or operational support.
- Or an equivalent combination of education and relevant work experience.
