Overview
Program Coordinator / Scheduler - $15.00/HOUR or MORE BOE A local construction company needs a Program Coordinator / Scheduler. This position plays a critical role in coordinating production schedules, subcontractors, crews, inspections, suppliers, materials, and customer communication to ensure projects move efficiently from start to completion.
Responsibilities- Scheduling & Project Coordination: Develop and maintain daily and weekly project schedules;
Coordinate roofing and construction projects from scheduling through completion;
Coordinate subcontractors, crews, suppliers, inspections, and material deliveries;
Work closely with General Manager and office staff to maintain production flow and project timelines;
Monitor project schedules and track progress of active jobs;
Help resolve scheduling conflicts and production issues;
Schedule site walks, inspections, and project milestones;
Maintain project metrics and scheduling updates for management. - Administrative & Operations Support: Maintain accurate job files, scheduling records, and project documentation;
Assist with small inventory management and material coordination;
Keep up with TPA / insurance portal requirements and documentation;
Coordinate bank draws and required project documentation as needed;
Update internal systems and production tracking;
Assist with invoicing, collections follow-up, and administrative support;
Prepare reports and provide operational updates to management as needed. - Customer & Vendor Communication: Communicate with customers regarding scheduling, production timelines, and project updates;
Maintain professional communication with subcontractors, suppliers, inspectors, and customers;
Coordinate with supplier groups and vendors regarding scheduling and deliveries;
Assist customers with project coordination and scheduling questions.
- Strong organizational and multitasking skills
- Ability to work in a fast-paced environment
- Strong communication and customer service skills
- Strong problem-solving ability
- Ability to prioritize and manage multiple projects simultaneously
- Experience coordinating subcontractors and crews preferred
- Proficient with computers, email, calendars, and office software
- Bilingual (English/Spanish) preferred
- Preferred Qualifications:
- Roofing or construction industry experience
- Experience with insurance restoration projects
- Experience using CRM or scheduling software
- Experience with TPA programs and insurance claims coordination
- Experience with Xactimate is a plus
