Shift work is required for a 24/7 operation and will involve working non‑traditional hours such as holidays, weekends, and late nights.
Acceptable Experience and Education- Associate’s Degree in Criminal Justice or a related field and two (2) years of office clerical experience; knowledge of legal procedures, terminology, the court system, and customer service.
- Depending on area assigned: one (1) year of cashier experience or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
- Personal smart device required by hire start date to access the County’s network and systems.
- Deputy Clerk deputizing may require AOP certification.
- Certified Clerk from Texas Justice Court.
- Master Certified Clerk from Texas Justice Court.
- May require or obtain by date of hire a valid driver’s license applicable to job responsibilities, with a driving record acceptable to the County of El Paso.
- Assist the Court in retrieving, organizing, and preparing case files prior to submission to courts and hearings.
- Create, correct events, dispositions, and statistical closures; ensure data entered on documents is accurate.
- Ensure computed court costs and fees are according to court dispositions and judgments.
- Attend court proceedings as directed; create documents on arraignments, jail pleas, dispositions, dismissals, bond orders, and judgments.
- Prepare documents for verdicts and sentencing at completion of trials; file, scan, and store documents.
- Conduct criminal searches for customers and agencies; prepare certified copies and disposition letters as needed.
- Receive, document, scan, and execute warrants, subpoenas, and alias capias; process warrant declines.
- Meet statutory timelines required for judgments; issue credits for time served by defendants.
- Prepare court docket; retrieve, organize, and prepare case files for courts and hearings.
- Prepare requests, subpoenas, abstracts, orders of sales, executions, citations, service packets, and related legal documents.
- Respond to requests in person, by mail, and by telephone in accordance with established policies, procedures, and regulations.
- Research information on case files, collections, judgments, cash bonds, status of cases as requested.
- File, sort, and close case files; perform data entry of files and other legal documentation into an automated database.
- Calculate civil court costs on bond forfeiture cases; complete release/detain orders, bond orders, etc.
- Calculate proper fees for filings of cases, writs, executions, subpoenas and related documents.
- Perform electronic filing.
- Assist attorneys in collecting information.
- Scan new cases; print judgments; file motions and orders.
- Secure authorized signatures on legal documents and deliver to appropriate parties or departments.
- Review the completion of various applications or documents and process them.
- May handle sealed cases.
- Attend and participate in meetings, training, and information sessions; stay abreast of new trends, statutes, laws, and innovations in the field.
Additional Duties
- Report disposition of cases; assist in elimination of errors.
- Create, code, and document civil, criminal, probate files, and non‑arrest warrants; perform data entry of minutes, filing, and file control.
- Deliver and pick up paperwork from the jail.
- Record executions issued and the returns on the executions; keep an index of parties to all suits filed in the court.
- Assist with jurors and contact updates; contact jurors; create list of jurors for selection; prepare paperwork for verdicts/sentencing; distribute checks to jurors.
- Take and process fingerprints.
- Order revoking personal recognizance bonds.
- Coordinate jury trial requests through jury hall; receive payments; balance receipts with cash, credit cards, etc.; process mail.
- Receive appropriate fees; ensure all information on checks is in compliance with check acceptance policy; record all pertinent information to cross‑reference transactions with valid identification and receipts.
