Job Description
Starting Date: Immediately
Position Summary: The Office Aide will assist the Campus Secretary or Office Manager by providing administrative and secretarial support for the Campus Director and department. Duties include typing, filing, scheduling, financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. The role also involves answering non-routine correspondence, assembling confidential and sensitive information, and handling a diverse group of external callers, visitors, and internal contacts at all levels.
Independent judgment is required to plan, prioritize, and organize diversified workloads and to recommend changes in office practices or procedures.
Education / Certification:
- High school degree or GED (preferred)
Experience:
- One year of office experience (preferred)
- Familiarity with office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Required Knowledge, Skills, and Abilities (KSAs):
- Ability to work with children and a love for children and learning.
- Ability to follow verbal and written instructions.
- Ability to communicate effectively verbally and in writing.
- Assist the secretary with scheduling and organizing activities such as meetings, travel, conferences, and campus events.
- Maintain and update the filing system, retrieve information from files when needed, and organize and prioritize large volumes of information and calls.
- Sort and distribute mail, draft written responses or replies by phone or e‑mail when necessary, and respond to regular requests for information.
- Answer phones for the campus when needed, take messages, and field both routine and non‑routine questions.
- Work independently and within a team on special nonrecurring and ongoing projects, including planning and coordinating presentations, disseminating information, coordinating direct mailings, and creating brochures.
- Assist with general correspondence, memos, charts, tables, graphs, business plans, etc., and proofread copy for spelling, grammar, and layout, making appropriate changes.
- Perform other duties as assigned.

Salary: $13 to $14 420 per General Fund salary level
