Under limited supervision, provides advanced coordination and operational support for the School of Pharmacy. This position leads key academic and student-facing initiatives, including program promotion, recruitment efforts, academic scheduling, and the planning and execution of major ceremonies and events. The role requires independent decision-making, cross-functional collaboration, and oversight of complex administrative processes that support student success and academic operations.
Statement of Duties and Responsibilities- Supports the promotion of the School of Pharmacy through recruitment initiatives, outreach activities, and events.
- Collaborates with internal and external partners to enhance visibility and attract prospective students.
- Assists with planning and execution of recruitment events, campus visits, and outreach programming.
- Leads the planning, coordination, and execution of major School of Pharmacy ceremonies and events.
- Develops event timelines, coordinates logistics, manages vendors, and oversees day‑of execution.
- Ensures events align with institutional standards and reflect the mission and culture of the School.
- Independently develops semester course schedules in collaboration with academic leadership.
- Assigns and tracks faculty instructional effort (percent effort) in coordination with department leadership.
- Manages scheduling systems, including Goldmine and other institutional tools.
- Develops and maintains color‑block schedules and resolves scheduling conflicts.
- Provides support for student registration processes, including troubleshooting enrollment issues.
- Conducts elective audits and assists with course updates and curriculum tracking.
- Supports advising efforts in coordination with student affairs staff.
- Serves as a liaison with campus partners, including the Registrar, Dean of Students Office, and other academic units.
- Participates in School of Pharmacy and university committees as assigned.
- Represents the department in meetings and collaborative initiatives.
- Provides advanced support to the Senior Coordinator and Director of Student Affairs.
- Assists with process improvement, workflow development, and implementation of operational procedures.
- May assist in training or guiding support staff and student workers.
- Knowledge of all Microsoft Office software and able to learn and use institutional software systems.
- Complies with all State and University policies.
- Other duties may be assigned.
- May provide guidance or oversight to student workers or administrative support staff as assigned.
- Education: Bachelor’s Degree
- Experience: 0-2 years of related experience; or equivalent combination of education and experience
