Administrative Assistant IV
Performs administrative support-related work in a maintenance office or district headquarters. Work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties:- Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and sensitive communications.
- Maintains materials inventory.
- Researches and compiles information for reports or inquiries and assists in organizing, coordinating and preparing written or statistical reports.
- Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
- Assists district personnel with annual inventory of supplies, stockpiles and minor equipment.
- Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with Business Services on adjustments needed.
- Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, maintenance, inventory, contracts, purchasing, travel information, and/or permitting activities.
- Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.
- Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
- Processes receipts and invoices for payment.
- Performs other job responsibilities as assigned.
Education:
High School Grad or Equivalent in general education.
Experience:1 year of experience in administrative or clerical support, customer service, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications.
Licenses andCertifications:
Valid U.S. driver’s license. This position requires driving a state vehicle.

Working Conditions:
- Sedentary work:
Lift up to 10 lbs. at a time and occasionally carry files/small tools. - Light work:
Lift up to 20 lbs. at a time and frequently lift or carry objects up to 10 lbs. - Standing-prolonged periods of time.
- Repetitive Motion-substantial movements of the wrists, hands, and/or fingers.
- Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading.
