Plans, directs, and manages accounting activities within Grants Management Accounting.
Statement of Duties and Responsibilities- Assists in the development, implementation, and monitoring of accounting systems and controls, providing recommendations for improvement.
- Collects appropriate data and prepares federal, state, and local financial statements and reports in accordance with funding agency requirements.
- Assists in the collection of and preparation of external audit materials and financial reporting.
- Directs maintenance of general and subsidiary ledgers related to post-award activity, accounts receivable, revenue distribution, budgets and operating expenses.
- Identifies and resolves problems and inconsistencies in grant‑related activities, including overdrafts, billing, accounts receivable, and post‑award expenses.
- Determines proper handling and interpretation of financial transactions for federal, state, local, and private awards.
- Provides training to campus staff on grant transaction processes.
- Performs statistical analyses to detect trends and impacts of significant changes to invoices, accounts receivable activity and financial reporting.
- Assists in training new personnel within Grants Management Accounting.
- Monitors compliance with generally accepted accounting principles, university policy and procedures.
- Assists with special projects such as testing institutional software systems.
- Familiar with Microsoft Office and institutional systems including Peoplesoft, ORSP tools, GART, Milestones Database and Subcontract Database.
- Complies with all state and university policies.
- Other duties as assigned; occasional travel may be required.
- Responsible for award setup in Peoplesoft and managing all accounting activity throughout the award life cycle.
- Prepares and submits financial reports based on agency requirements and coordinates budget and cost transfers.
- Assists with on‑demand requests and ensures timely meeting of cost‑share requirements.
- Reviews and processes all subcontract payment activity within awards.
- Reviews and approves payment documents in Peoplesoft, including vouchers, expense reports and other forms.
- Evaluates summer double deductions on grants and works with Budget department to process corrections.
- Oversees overdraft processes and recommends solutions.
- Collaborates with Award Management group for closeout review and cost‑share appointments.
- Runs billing process in People Soft for all award activity and contract types.
- Prepares billing reconciliation and reviews unbilled transactions.
- Applies funds received to corresponding invoices and manages sponsor refunds/write‑offs.
- Reconciles AR account to general ledger and maintains receipts aging reports.
- Communicates with sponsoring agencies to collect pending receivables.
- Bachelor’s degree in Accounting or a Business Administration degree with 15 credit hours in accounting from a four-year college or university.
- Two years of related experience and/or training in accounting functions, or equivalent combination of education and experience.
