Administrative Assistant II

Position Summary

The Administrative Assistant II provides administrative support for program area and support functions, or serves as an assistant to an administrator or official. Duties include supervising an administrative/clerical unit, managing records, processing applications for permits or licenses, preparing correspondence, and coordinating activities both internal and external. The role requires independent judgment and complex problem‑solving at all levels.

Responsibilities
  • Train other staff and assign projects as needed.
  • Develop and implement special procedures.
  • Initiate correspondence requiring knowledge of agency procedures and policies.
  • Develop and maintain confidential or complex files.
  • Interpret and advise internal and external customers on departmental or program rules, regulations, and laws.
  • Prepare invoices and payments of claims, requisitions, purchase orders and other fiscal duties.
  • Supervise subordinate staff.
  • Represent agency, supervising official, or program area at meetings, conferences, or civic organizations.
  • Coordinate activities with internal and external customers.
  • Establish education and/or training programs.
  • Interview callers, arrange appointments, and handle office details.
  • Enter and retrieve information using a personal computer or other data processing equipment, review coded and uncoded source documents, review data and make routine corrections.
  • Other duties as assigned.
Qualifications
  • Bachelor’s degree plus one year of technical clerical, administrative, secretarial, or general office work, or equivalent combination of education and experience.
  • Knowledge of spelling, punctuation, and business English; business mathematics; modern office methods and procedures; maintenance of complex records.
  • Ability to maintain effective working relationships, handle confidential work, interpret routine matters per agency policy, and follow oral and written instructions.
  • Valid background check and legal authorization to work in the United States without visa sponsorship.
Knowledge, Skills & Abilities
  • Knowledge of business English, business mathematics, and modern office methods.
  • Maintenance of complex records and adherence to major policies and procedures.
  • Ability to interpret and handle routine matters per agency policy.
Physical Demands & Work Environment

Office setting, climate controlled. Requires sitting, standing, walking, reaching. Daily use of computers and phones. The position is essential for being present in the office.
