Job Description

The Product Development Coordinator supports new product development by managing quotes, samples, supplier sourcing, and project coordination between Sales, Formulation, Purchasing, and Production. This role focuses on execution and follow-through — ensuring details are handled quickly and accurately so projects move forward without delays or bottlenecks. This position is ideal for someone who is highly organized, detail-oriented, and thrives in a fast-paced manufacturing environment where multiple priorities must be managed at once.

Primary

Responsibilities Product Development Support
  • Prepare quotes from approved ingredients
  • Coordinate sample preparation, packaging, and shipment of samples to customers
  • Track revisions, updates, and customer requests
  • Gather COAs, ingredient specs, and compliance documentation from suppliers
  • Support labeling and documentation accuracy for new projects
Sourcing & Purchasing Support
  • Request pricing, order quantities, and lead times from suppliers
  • Source alternate vendors when needed
  • Maintain approved vendor and raw material database
  • Track ingredient availability and communicate risks or delays
  • Support purchasing with supplier communication and follow-ups
Project Coordination
  • Track timelines for multiple projects
  • Follow up proactively with internal teams and vendors
  • Provide clear status updates to leadership and sales
  • Ensure deadlines are met and nothing falls through the cracks
  • Serve as the operational bridge between formulation, purchasing, and sales
Process Improvement
  • Build and maintain SOPs, templates, and checklists
  • Improve workflows for quoting, sourcing, and documentation
  • Maintain accurate data in internal systems (Excel/Quick Books/Asana/ERP)
  • Identify opportunities to increase efficiency and reduce delays
Required

Skills & Qualifications
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • High attention to detail and accuracy
  • Clear written and verbal communication skills
  • Proficiency in Gmail, Google Workspace, and Microsoft Office (Excel required)
  • Ability to work cross-functionally with sales, production, and operations teams
  • Prior experience in manufacturing preferred but not required
