Job Title:
Executive Assistant / Tax Project Administrator Duration: 6-Month Contract Rate: 40-45/hr. on W2 Position Overview
We are seeking an experienced Executive Assistant / Tax Project Administrator to support the Corporate Controller’s Office and Tax Leadership Team. This role reports directly to the Senior Vice President & Corporate Controller and the Senior Vice President of Tax
.
The ideal candidate is highly organized, proactive, and capable of managing executive-level administrative operations in a fast-paced, global environment. This position requires discretion, strong judgment, and the ability to manage competing priorities while supporting senior leadership.
Key Responsibilities- Manage complex calendars, scheduling, and correspondence for the SVP/Controller and Tax leadership team across multiple global time zones.
- Act as a “gatekeeper” by prioritizing requests, resolving scheduling conflicts, and ensuring smooth day-to-day operations.
- Prepare complex documents, reports, presentations, meeting agendas, and materials for leadership meetings including Audit Committee and CFO meetings.
- Coordinate travel arrangements and process expense reports.
- Support department operations including vendor setup, purchase orders, invoice review/approval, billing, and budget tracking.
- Assist with tax authority correspondence and documentation management.
- Coordinate IT desktop issues and office services (meeting rooms, supplies, correspondence).
- Collect and organize data from global finance teams.
- Manage ad hoc executive requests and departmental projects.
- Maintain confidentiality and exercise discretion on sensitive matters.
- 7+ years of administrative experience supporting senior executive leadership.
- Bachelor’s degree preferred (not required).
- Strong experience supporting executives in global environments with multiple time zones.
- Expert proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Strong organizational skills with exceptional attention to detail.
- Ability to manage high-volume workload with minimal supervision.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with ability to interact at all organizational levels.
- Demonstrated ability to maintain confidentiality and integrity.
- Self-motivated, proactive, adaptable, and comfortable in a fast-paced environment.
- Flexible to work early or late hours when needed.
