Executive Assistant – Corporate / Securities, Global Commercial & Operations, and Government Affairs

Reporting directly to the Senior Vice President of the Mattel Law Department, the Executive Assistant provides day‑to‑day general administrative support, manages executive scheduling, coordinates internal and external meetings across multiple time zones, and maintains strong relationships with attorneys, vendors, and other stakeholders.

Responsibilities
  • Manage the SVP’s calendar, including phone coverage and scheduling of calls and meetings, acting as a gatekeeper for senior executive time.
  • Oversee section budgeting and spend matters; prepare forecasts, accruals, e‑billing, vendor onboarding, purchase orders, and invoice processing.
  • Complete a broad range of administrative tasks, such as assisting with special projects, coordinating IT desktop issues, and producing complex documents and presentations.
  • Prepare and distribute information for meetings, compose correspondence, maintain contact lists, arrange travel, and complete expense reports.
  • Assist with Board of Directors and committee materials, including presentations, agendas, and other supporting documents.
  • Support the SVP in chairing the Law Department Pro Bono Committee and participation on the Board of Directors of the Mattel Foundation.
  • Coordinate and track multiple projects, deliverables, and timelines across attorneys and stakeholders.
  • Prioritize and manage inquiries and requests, resolving conflicts to ensure smooth daily operations.
  • Manage office services such as meeting room booking, Zoom calls, supply replenishment, and logistics for periodic events.
  • Oversee document and records management, both electronic and physical, along with systems used by the Law Department.
  • Collaborate with other assistants and staff within and outside the Law Department, including C‑suite executive assistants.
  • Coordinate new hire onboarding, training, and continuing‑education registrations for attorneys.
  • Distribute incoming mail and prepare outgoing mail for the team.
  • Improve existing administrative processes and practices where beneficial.
Qualifications
  • Minimum seven years of experience supporting C‑suite or senior executives, preferably within a legal team.
  • Bachelor’s degree preferred.
  • Proven ability to thrive in a fast‑paced environment with sensitivity to executive dynamics.
  • High level of professionalism, integrity, and discretion with confidential information.
  • Exceptional organizational, planning, and prioritization skills.
  • Strong verbal and written communication, with experience working across international and domestic teams.
  • Positive, can‑do attitude and ability to work independently and collaboratively.
  • Strong problem‑solving and judgment skills, especially regarding confidential or critical matters.
  • Ability to respond urgently to time‑sensitive situations.
  • Expert proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and the ability to troubleshoot software issues.
  • Self‑starter who can juggle multiple tasks autonomously, efficiently, and accurately.
  • Anticipates the needs of the SVP and team and acts proactively.
  • Experience working with both internal and external partners.
  • Desire and commitment to assume increasing levels of responsibility.
  • Schedule flexibility when required for key matters.
