Office Coordinator
Federal Realty is seeking an Office Coordinator to provide administrative support and front desk coverage at our regional office in El Segundo, California. The ideal candidate will possess strong interpersonal and customer service skills, exceptional organizational abilities, and the initiative to work independently in a fast-paced environment.
Responsibilities- Provide a high level of customer service to the various departments in the El Segundo office
- Perform general office administrative support functions to include: data entry, word processing, and report generation; uploading and coding invoices in Nexus; preparing and follow up on contracts and work orders; executing capital contracts in the accounting system; preparing and reviewing vendor set up forms
- Perform front desk duties to include welcoming guests, handling calls and routing calls appropriately
- Prepare and process expense reports for the Development and Asset Management team
- Provide backup support for property management administrative needs as required
- Assist other departments with special projects, scheduling of meetings, and events
- Order all office and kitchen supplies
- Assist with kitchen duties, including restocking of beverage machines and kitchen supplies
- Arrange for service, as needed, including postage machine, copier machines, HVAC equipment, kitchen appliances, etc.
- Handle all incoming mail and distribute appropriately
- Stock all copiers/copier centers throughout the office ensuring all copy areas are fully stocked with paper/supplies
- Other duties and responsibilities as assigned
- Must have a high school diploma, some college preferred
- 2+ years' experience in an office support role
- Proficiency in Microsoft Word, Excel, and Outlook
- Experience processing expense reports preferred
- Demonstrated strong verbal and written communication and interpersonal skills
- Strong attention to detail
- Excellent organizational and time management skills
- Highly dependable with demonstrated ability to plan and schedule
- Problem solving and basic troubleshooting skills
- Must be comfortable standing and lifting up to 30 pounds
- Working knowledge of office machines including scanners, voicemail systems, and copiers
- Flexibility and the ability to prioritize new tasks as they come in
- Team player who can also work independently
Salary Range:
The typical total cash compensation range for this role is $58,000–$70,000 per year, inclusive of base salary and any applicable bonus. To ensure a fair and competitive offer, we take into account your job-related skills, experience, relevant trainings, and certifications.
