Role Description

We re a growing technology startup with a collaborative, hard-working, and fun team that s passionate about building great products and delivering exceptional service to our customers. We re looking for a smart, organized, resourceful, and highly motivated Executive Assistant who is excited to learn how a business operates from the inside out. Reporting directly to the CAO/COO, this role provides administrative and operational support across the business, working closely with the CEO, CAO/COO, CTO, and other team members. You ll help keep the company running smoothly by supporting executive priorities, improving internal processes and documentation, assisting with customer and sales operations, coordinating office activities, and taking ownership of projects large and small.

Responsibilities will vary from day to day and may include:

  • Provide executive administrative support, including calendar management, meeting coordination, travel arrangements, expense reporting, and general executive assistance.
  • Support Human Resources and People Operations through onboarding coordination, document preparation, policy administration, and other administrative tasks.
  • Assist with accounting and finance administration, including expense management, invoice coordination, and maintaining organized financial records.
  • Provide sales and customer operations support by preparing customer order forms, processing contracts, maintaining customer records, and assisting with customer requests.
  • Help improve internal operations by updating company policies, organizing shared document repositories, maintaining filing systems, and identifying opportunities to streamline processes.
  • Coordinate and track cross-functional projects, follow up on action items, and help ensure deadlines are met.
  • Provide general office support, including ordering office supplies and groceries, coordinating team lunches and happy hours, distributing promotional and marketing materials, and helping create an enjoyable office environment.
  • Take ownership of special projects and other assignments as requested by company leadership.
Qualifications
  • Bachelor s degree or equivalent education and experience preferred.
  • Internship, campus leadership, or part-time work experience demonstrating strong organizational skills, professionalism, and accountability.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and Google Workspace; experience with modern business software (CRM, project management, HR, accounting, or productivity tools) is a plus.
