- Coordinate the opening, maintenance, and closing of client bank accounts using approved Verita and financial-institution procedures.
- Collect and review required account-opening information, including evidence of authority, authorized signers, tax documentation, organizational or court records, contact information, and completed bank forms.
- Confirm that required customer-identification, due-diligence, beneficial-ownership, sanctions-screening, and bank-specific documentation has been completed or routed to the authorized reviewer, as applicable.
- Receive and prepare outgoing wire requests only through approved channels and confirm the source account, beneficiary, receiving bank, routing or SWIFT information, account number, amount, currency, requested date, business purpose, and supporting documentation.
- Independently verify new or changed wire instructions using trusted contact information and approved callback or secondary-verification procedures; do not rely solely on instructions contained in an email.
- Apply the approved authorization matrix, transaction limits, dual-control requirements, and segregation of duties before any wire is released.
- Ensure that initiation, approval, release, and reconciliation responsibilities remain appropriately separated and that final release is completed only by an authorized approver.
- Identify and elevate incomplete documentation, conflicting instructions, unusual urgency, account changes, fraud indicators, sanctions concerns, or requests that fall outside established authority.
- Maintain complete checklists, status logs, approval records, verification evidence, bank confirmations, transaction references, and audit-ready documentation for every account and wire.
- Reconcile completed activity to approved requests and promptly investigate rejected, returned, delayed, duplicated, or incorrectly processed transactions.
- Protect confidential banking and personal information, use approved secure systems, and follow access-control, data-retention, and incident-reporting requirements.
- Maintain current standard operating procedures, job aids, templates, and control documentation, and support periodic access reviews, control testing, audits, and process improvements.
- Coordinate professionally with clients, Relationship Managers, Finance or Treasury approvers, banking partners, operations, and other authorized stakeholders.
- Use approved AI and automation tools only for low-risk administrative support, such as checklist preparation, status summaries, and procedure maintenance; never use AI to approve, authenticate, or release a wire.
- Experience with bank-account administration, treasury operations, payment operations, wire processing, cash management, financial services, or another control-intensive environment.
- Strong understanding of dual control, segregation of duties, authorization limits, independent verification, fraud prevention, and audit evidence.
- Ability to gather and validate detailed banking instructions accurately while managing time-sensitive requests and competing priorities.
- Sound judgment and the confidence to pause or elevate a transaction when information, authority, or verification is incomplete.
- Clear and professional written and verbal communication with clients, financial institutions, and internal approvers.
- High discretion when handling confidential financial, personal, and account information.
- Excellent organization, documentation, reconciliation, and follow-through skills.
- Comfort using bank portals, spreadsheets, workflow or ticketing systems, document repositories, Microsoft 365, and Google Workspace.
- Ability to follow established procedures precisely while identifying practical opportunities to improve efficiency and control quality.
- At least three years of relevant experience in banking operations, treasury, cash management, account administration, payments, fiduciary operations, or a comparable financial-control role is preferred.
- Hands-on experience opening business, fiduciary, trust, estate, bankruptcy, or other complex accounts is strongly preferred.
- Hands-on experience preparing or processing domestic and international wires under dual-control procedures is strongly preferred.
- Knowledge of KYC, CIP, beneficial-ownership, sanctions-screening, fraud-prevention, and information-security concepts is preferred.
- Experience in bankruptcy, trustee administration, fiduciary services, legal services, or another regulated environment is preferred.
- Bachelor's degree in finance, accounting, business, or a related field, or equivalent relevant professional experience, is preferred.
