AI Solutions Coordinator
Michael Best is seeking an AI Solutions Coordinator to provide day‑to‑day coordination and administrative support for the firm’s AI programs while providing opportunities to build experience in technology adoption and innovation operations. The Coordinator supports adoption and program activities by assisting with intake and communications, maintaining documentation and trackers, supporting training and pilot logistics, and contributing to adoption reporting as assigned.
The Coordinator works closely with the Innovation & AI Solutions Manager, project leads, Professional Development, MBD, IT, and other stakeholders to ensure initiatives stay organized, communications are timely, and deliverables move forward.
This role focuses on execution support under supervision, including scheduling, follow‑ups, documentation, and issue tracking. The Coordinator supports the overall AI program across multiple work streams and provides coordination for assigned initiatives under the direction of the Innovation & AI Solutions Manager and designated project leads. The Coordinator will help support initiatives involving firm‑approved generative AI platforms and related innovation tools, as well as additional tools evaluated by the firm.
Success in this role requires strong organization, attention to detail, professionalism, curiosity, and sound judgment in handling confidential information.
- Schedule and coordinate intake meetings; capture notes, requested outcomes, constraints, and next steps using established templates.
- Route requests to the appropriate project lead and assist with follow‑through by tracking action items, deadlines, decisions, and approvals; send reminders and flag risks or blockers to the manager/project lead.
- Prepare agendas, materials, and meeting logistics for discovery sessions and workshops; document current workflows and requirements provided by stakeholders.
- Coordinate pilot logistics such as calendars, user lists, onboarding communications, and testing schedules; support collection of feedback and maintain issue/enhancement logs.
- Support training and enablement by coordinating sessions (scheduling, invites, materials, attendance tracking) and updating quick‑reference and troubleshooting resources as directed.
- Coordinate meetings and follow‑ups with program stakeholders (e.g., IT, information security, knowledge management, compliance, and Professional Development); help maintain documentation needed to support confidentiality and responsible AI practices.
- Maintain program trackers and adoption logs; compile inputs for updates and assist with adoption and impact reporting (e.g., training attendance, usage summaries, common issues, and basic time‑savings or quality measures where available). Provide general administrative support, including managing shared folders, maintaining reference materials, and supporting communications as assigned.
Minimum Requirements & Qualifications
- Bachelor’s degree required in a relevant field such as information systems, business, communications, data analytics, or a related area. This role is open to candidates early in their careers as well as those with relevant prior professional experience.
- Interest in generative AI and emerging technology tools, and the ability to learn new platforms quickly; prior exposure may come through professional experience, academic work, or independent use.
- Ability to capture meeting notes, action items, and requirements clearly using templates; comfort creating and maintaining simple trackers (e.g., Excel) and organized files.
- Strong interpersonal and communication skills—able to work effectively with busy professionals, communicate status updates clearly, and elevate questions related to reliability, ethical use, and confidentiality to appropriate stakeholders.
- Ability to compile and summarize information for basic reporting (e.g., training attendance, usage summaries, and common issues) with guidance.
- Aptitude for project coordination and comfort supporting pilots or small initiatives by tracking tasks, deadlines, and communications;
