Front Desk Receptionist

Compensation: $17.00–$18.00 per hour, based on qualifications and experience. Eligible for the Housing Authority of Elgin's comprehensive benefits package, including health, dental, vision, life insurance, paid time off, paid holidays, and retirement benefits.

Full-Time Position

Hours:

Monday–Thursday, 8:00 a.m.–5:00 p.m.;
Friday, 8:00 a.m.–2:00 p.m.

Position Overview:

The primary purpose of this position is to provide professional reception, clerical, and administrative support to the Housing Authority of Elgin. The Front Desk Receptionist serves as the first point of contact for residents, applicants, landlords, vendors, and the public by providing exceptional customer service both in person and over the telephone. This position is responsible for greeting visitors, answering and directing incoming calls, processing incoming and outgoing correspondence, maintaining records, assisting applicants with general inquiries, and providing administrative support to all departments as needed.

Regular attendance is an essential function of this position.

Essential Job Functions
  • Serve as the first point of contact for all visitors, applicants, landlords, vendors, and the public, providing professional, courteous service.
  • Greet visitors, determine the nature of their business, and direct them to the appropriate staff member.
  • Answer and route incoming telephone calls, respond to general inquiries, and take accurate messages.
  • Receive, date stamp, and distribute incoming documents and correspondence.
  • Sort and distribute incoming mail and prepare outgoing mail.
  • Assist applicants with completing housing paperwork and direct them to appropriate program staff when necessary.
  • Provide general information regarding Housing Authority programs, waiting lists, and office procedures.
  • Maintain electronic and paper filing systems.
  • Prepare letters, reports, forms, labels, and other documents using Microsoft Office.
  • Assist with scheduling appointments and coordinating meetings.
  • Order and maintain office supplies.
  • Assist with scanning, copying, filing, and document management.
  • Maintain confidentiality of applicant and resident information.
  • Provide clerical and administrative support to all Housing Authority departments.

Education and Experience
  • High school diploma or equivalent required.
  • Minimum of one (1) year of customer service, receptionist, or general office experience preferred.
  • Proficiency in Microsoft Word, Excel, Outlook, and other standard office software.
  • Ability to operate standard office equipment.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and multitask in a fast-paced environment.
